The Project Coordinator (Jaguar) works with interior designers hotel owners and operators to assist the Project Manager with pricing ordering and expediting of Furniture Fixtures and Equipment (FF&E) and/or Operating Supplies & Equipment in a timely manner within the overall budgetary schedule and design constraints. This position is responsible to make independent decisions with regards to follow up with vendors and when interacting with clients determining when to give or withhold information. This role will also establish how best to effectively communicate to their respective groups.


QUALIFICATIONS:

  • Associate's degree , economics, or a related field (Hospitality Interior Design, Business, etc.) is required.
  • Relevant experience is highly desired for this position; knowledge of Hospitality, interior design, and/or project management is a plus.
  • Industry certifications are beneficial.
  • Must be proficient in Microsoft Word/ Excel/ PDF with ability to create new workbooks & Documents and work within existing documents.
  • Must have the ability to learn and understand our proprietary purchasing system and work within it on a daily basis.
  • Demonstrates the ability to read interior design drawings/ specifications and have the ability to reason and understand the desired products.
  • Must have good verbal / written communication skills and customer service mindset
  • Must be able to adapt to changing project requirements and schedules


JOB RESPONSIBILITIES:

  • Communicate clear and concise information requests with suppliers, designers, PMs and ownership groups.
  • Manage submittal process (Drawings, Finishes, CFAs etc.) on a timely basis.
  • Enter pertinent detaiIs of project shipments into an expediting report for owner review.
  • Review vendor acknowledgements (price, qty, description against PO) and note any differences with vendor/PM;
  • Collect invoices from supplier and review against order. If correct, forward to PM. If not correct, work with supplier for accurate invoice.
  • Keep track of all refunds/ returns to ensure credits/ checks are received.
  • lnterior Design plan review and furniture quantification
  • Coordinating logistics/shipping and expediting of goods from various points of shipment
  • Request close out forms once PO is shipped and paid.
  • Prepare project book of all warranties I cleaning / FR certificates and maintenance documents for hotel managers.
  • Point of Contact in buyer's absence.
  • Basic project accounting
