Job Summary

Working in a complex, evolving healthcare purchasing environment, the Contract Administration Supervisor will lead the day-to-day activities of the Contract and Analytics team, responsible for working closely with, and supporting the Contract Analysts, Corporate/National Account Managers and the general Terumo Medical Corporation (TMC) sales team in managing the TMC Sales contracting and initiatives. The Contract Administration Supervisor must understand the overarching contracting landscape and nuances for TMC customers, to best manage and prioritize resources to ensure requirements are accomplished in an efficient, accurate and timely manner. This role will also actively participate in strategic contract management tasks

Job Details/Responsibilities

  • Supervise assigned Contract and Analytics team associates in all applicable tasks; prioritize work, adjust resources and priorities to ensure adherence to departmental requirements and service levels, and resolve issues and remove barriers that may impede execution.
  • Monitor and support the assigned Contract and Analytics team by hosting recurring one-on-one meetings and facilitate development towards associated performance and development goals.
  • Assist the Sr. Manager in coordinating department onboarding, cross-training and continuous process improvements for the Contract and Analytics team.
  • Responsible for the following with respect to Group Purchasing Organizations (GPO):
  • Lead the team in GPO contract membership eligibility on an ongoing basis, ensuring customers are correctly assigned to their designated contracts and pricing.
  • Perform regular monitoring activities to ensure that customers are properly classified.
  • Lead in implementing process improvements toward the investigation, resolution and minimizing recurrence of pricing discrepancies and issues, to determine the root cause for efficient resolution.
  • Consolidate data from various sources and systems to generate various reports (e.g., weekly, month end, ad hoc, rebate, and administration).
  • Responsible for contract lifecycle management of assigned Key Accounts, which includes:
  • Draft/or review contract terms and conditions in order to understand and revise terms to include business decision language and comments prior to legal review.
  • Serve as a partner and subject matter expert (SME) in contract performance, to evaluate contractual performance and provide data that can be used to assist in strategic decisions.
  • Assist in managing operation needs to accurately track, calculate, review, audit, and report on contractually required administrative fees and incentive rebate reviews and payments
  • Knowledgeable of industry Requests for Information ( RFIs) Request for Proposals, (RFPs), and contract submissions processes to provide guidance and establish processes for the team.
  • Conduct periodic audits of contracts to ensure compliance with TMC policies for contracting and pricing.
  • Lead assigned evaluation of relevant internal processes, procedures and systems, for recommendation and implementation of improvements.
  • Demonstrate a commitment to patient safety and product quality by maintaining compliance with all TMC Quality Systems requirements. This includes but is not limited to the prompt recognition and forwarding of customer complaints (i.e. adverse events, product performance reports, etc.) to Quality Assurance (QA), and by ensuring all promotional messaging (i.e. branding strategies, product claims, etc.) and materials (i.e. literature) discussed or presented to customers are clinically accurate and adhere to AdvaMed guidelines and Terumo’s policy on Interactions with Healthcare Professionals.
  • Perform other job-related duties as assigned.

Knowledge, Skills and Abilities (KSA)

  • Understanding of contract and sales operations.
  • Ability to quickly learn Terumo’s products, procedures and systems.
  • Strong interpersonal skills and ability to communicate effectively, both orally and in writing.
  • Proven record of excellent integration, implementation, and management skills with demonstrated ability to facilitate change.
  • Ability to manage multiple priorities and deadlines while working in a fast paced, deadline driven environment.
  • Interest in, and enthusiasm for automation of solutions and its potential for improving departmental and inter-departmental efficiency.
  • Strong computer skills including Microsoft Office, (Excel and Word) and ability to run recurring and adhoc reports through an ERP system.
  • Ability to handle confidential information.
  • Detail orientated.
  • Ability to synthesize various independently generated data points into cohesive reports.
  • Excellent analytical, organizational, and critical thinking skills.
  • Strong technical knowledge of contracting with Group Purchasing Organizations (GPOs), Integrated Delivery Networks (IDNs), Distributors and Hospitals

Qualifications/ Background Experiences

  • Bachelor’s Degree and a minimum of 7 years of contract management experience, preferably within the Medical Device or Pharmaceutical industry or equivalent combination of education, training and experience.
  • A minimum of 2 years demonstrated ability managing and leading teams, mentoring new hires and spearheading projects required.
  • Highly experienced with technical knowledge of contracting with Group Purchasing Organizations (GPOs), Integrated Delivery Networks (IDNs), Distributors and Hospitals.
  • Must have strong analytical experience with contracts including legal terms and conditions, preferably in the medical device or pharmaceuticals industry.
  • Experience with a contracting ERP system (i.e., JD Edwards, SAP, Model N etc.) preferred.
  • Experience developing customer agreements and administering customer pricing, or related activity.
