We are looking for an Assistant to support our Content team on campaigns for films, series and podcasts. The Assistant will work closely with Publicists on client projects and will support the team with administrative tasks and in all aspects of executing client requests. The Assistant will be responsible for multitasking on several clients simultaneously in a fast-paced, deadline-oriented environment.

Role And Responsibilities

  • Administrative duties, including managing a high volume of emails and calls, coordinating meetings and schedules, expense reports, travel etc.
  • Track media coverage and service clients with media breaks on a regular basis
  • Assist with writing and editing internal and external materials
  • Distribute press releases electronically and assist with media outreach (including utilizing email distribution software, i.e. Constant Contact, to create and distribute materials)
  • Coordinate details for client press events, screenings, photos shoots, festivals and premieres including travel and grooming
  • Process client requests in a timely manner
  • Cover screenings, premieres, press days and other PR events for clients (some of these may occur after hours or on weekends)
  • Maintain and update databases such as press contact lists and detailed calendars
  • Upload and maintain client files using Google Drive and distribute to the team when needed
  • Create and deliver agendas for recurring client meetings
  • Conduct research to support client planning and strategy
  • Liaise with MPAA and other industry organizations
  • Stay current with dynamic media environment (new websites, publications, tv shows, podcasts)

Qualifications

  • Experience working at a PR agency, film distributor, tv network or other entertainment company
  • Bachelor's Degree in Communications, Public Relations, or Journalism preferred
  • Strong proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint
  • Strong proficiency in Google Docs, Google Sheets and Google Slides
  • Proficiency with Constant Contact (database management) is a plus
  • Highly organized
  • Exceptional interpersonal, organizational, verbal, and written communications skills
  • Proactive and able to handle multiple projects simultaneously in a high-pressure, fast-paced environment
  • Solid problem-solving skills
  • Meticulous attention to detail
  • Self-starter with the ability to multitask
  • Reliable: meets deadlines, prioritizes well, and has a high sense of urgency
  • Solid proofreading skills
  • Professional, confident and mature demeanor
  • Able to anticipate needs of team members and clients
  • Strong interest in all aspects of the entertainment industry
