Conference Service Manager

As the Conference Service Manager, the primary role is to be the bridge between our clients and the hotel operations team.

Responsibilities

  • Once the Sales Team hands over the booked Group Account with Events attached, precisely communicate with clients to ensure all event documents are carefully prepared and finalized using tools and systems provided
  • Ensure all site inspections and client visits (after handover) to the hotel are successful by planning carefully and delivering accurate details to all departments.
  • Ensure events are detailed and implemented seamlessly by managing group event sales bookings, optimize revenues, and discover up-sell opportunities while positively impacting our guests and colleagues.
  • Monitor guest room blocks, ensuring contract adherence and optimizing revenue opportunities
  • Monitor guest room allocations to ensure contract compliance while capitalizing on revenue opportunities
  • Alert clients about potential attrition charges for rooms and F&B if bookings or revenues are projected to fall short of the contract
  • Supervise the client payment process, from hand over to the final bill
  • Document all customer exchanges and ensure all information is up to date and accurate in the booking platform at all times for vital documents such as BEOs, payment forms, diagrams, agendas, etc.
  • Create banquet event orders and communicate client needs to all departments of the hotel. Ensure hotel staff follows through on all requests.
  • Oversee the timely distribution of Banquet Event Orders (BEOs) in line with hotel deadlines
  • Partner with hotel staff for pre-and post-event meetings including BEO weekly meetings
  • Prepare resumes for groups ten days prior to group arrival and review all details in weekly Staff Meeting.
  • Be on-hand during key event moments to engage with clients, ensure all details are executed correctly, and address immediate requirements
  • Adhere to the Event Sales and Conference Services Department’s standard operating procedures.
  • Help establish and maintain hotel’s marketplace position within social and corporate communities.
  • Be aware of departmental revenue and up sell at every possible opportunity.
  • Participate in all regular and operational meetings as required
  • Coordinate all aspects of conferences as assigned to include but not limited to: food and beverage requirements, timing of events, audio-visual requirements, special attention to guests, room type allocation, rooming list, amenities, function room set up, group transportation, type of check in, check out to include satellite check in, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, expected food and beverage outlet usage, group hospitality/office/registration desk requirements, business center requirements, entertainment, leisure activities, décor (to include floral) requirements.
  • Collaborate with the client and front office for any corrective actions
  • Ensure all known opportunities are in the CRM/Booking Platform and completely accurate and always updated
  • Ensure VIP group reservations are correctly allocated
  • All other duties as required
