Assistant/Broker Assistant- 100% in office.

The Broker Assistant/Administrative Assistant performs a broad range of administrative duties for multiple real estate brokers as follows: MUST HAVE 3+ YEARS COMMERCIAL REAL ESTATE BACKGROUND!

 Designs and produces property brochures in accordance with company marketing guidelines.

Updates brochures as necessary, prints file copies and saves in electronic broker file.

 Manages broker listings on CoStar, Xceligent, LoopNet and BuildOut. Provides accurate

information, brochures and floorplans to CoStar and Xceligent. Enters and maintains all listing

information on LoopNet and BuildOut.

 Creates and sends broadcast emails on a regularly scheduled basis for broker listings through

BuildOut, Constant Contact and/or Xceligent CDX blast.

 Prepares proposal and presentation packages, offering memorandums, broker opinions of value,

property tour books and other client packages from document Preparation Form provided by

assigned brokers.

 Prepares Listing Contracts, Purchase and Sale Contracts, Addendums, Letters of Intent, and

other required legal documents from the Contract Preparation Form provided by the broker.

 Conducts database/internet searches to include RegisOnline, RealQuest, City/County/State

websites to gather property information and demographics as requested by broker.

 Creates listing/sale files and insures file is in compliance with company established guidelines.

Closes out file when listing is leased/sold/expired or withdrawn.

 Processes and tracks booking sheets and invoices for transactions and commissions.

 Performs general office duties and other special projects as assigned.

Minimum Qualifications:

 Previous brokerage/real estate assistant experience

 Knowledge of commercial real estate terms and processes

 Strong multi-tasking and organizational skills

 Manage and prioritize work load with completing and changing priorities

 In depth knowledge of and experience in commercial real estate

 Excellent written, verbal and proofreading skills

 Ability to work well under pressure while maintaining professionalism

Software Program Requirements:

Microsoft Office: Outlook, Word, Excel, PowerPoint;

Adobe Creative Suite: InDesign, Illustrator, Photoshop;

CoStar, Xceligent, LoopNet, Constant Contact, RealQuest, BuildOut, RegisOnline
