Our client is a Commercial Real Estate and Property Management company actively growing its commercial retail portfolio in Southern California focused on repositioning and developing modern and sustainable retail properties and needs a strong, financial minded Property Manager for a multi-tenant property with active facilities and space management.


Job Description – The Commercial Property Manager manages the building operations and property management team members ensuring the fiscal and operational success of the building. With excellent analytical skills, the primary responsibility of the Commercial Property Manager will be the financial management and reporting for the property working closely with the accounting team and building ownership. With excellent customer service skills, the Commercial Property Manager will work with tenants and building team members to support the property retention goals. Strong teamwork and accountability are key attributes of the successful Commercial Property Manager. Additional responsibilities for the Commercial Property Manager include the following:


Responsibilities:

  • Provide direction and support in property management, engineering, and construction.
  • Direct management operations including but not limited to: o Tenant operations and services o Vendor bidding, scheduling and supervision o Security and access o Inspections o Processing work orders
  • Facilitate short-and-long term leasing deals for studios, offices and parking lost/spaces, including touring, negotiating and review with legal counsel.
  • Collaborate with multiple departments, such as Engineering, Construction Management, Human Resources, Accounting, and Leasing in identifying and implementing portfolio wide initiatives and process improvements.
  • Manage operating and capital improvement projects to ensure they are completed within budget and on schedule, including job cost tracking, management of contractors and hosting of regular meetings.
  • Provide leadership and direction to Assistant Property Managers, Property Administrators and Accountants, including providing thorough information and training, promptly responding to questions, resolving issues and ensuring accurate completion of tasks within established timeframes.
  • Identify and make well thought out recommendations to senior leadership for opportunities to reduce operating expenses and/or generate additional income.
  • Develop strategic and tactical plans that support business objectives, vision and values.
  • Prepare accurate, complete and timely monthly reports; includes thoroughly researching and writing clear and complete variance explanations, e.g. preparing explanations of aged receivables and collections efforts, explanations of capital expenditure variances and project updates, providing clear and concise information on project updates, and preparing clear and complete narratives addressing other issues that may affect the overall financial or operational performance of the property.
  • Prepare the annual operation and capital budget(s). Accurately and thoroughly complete assigned deliverables under the direction of the Vice President, Operations within established timeframes.
  • Perform building inspections to discuss possible improvements to create optimal conditions at the property through approved procedures and processes and manages barriers that may affect the property’s ability to achieve its goals.
  • Complete and/or participate in formal and informal property inspections and compliance audits. Ensure issues and deficiencies identified in formal and informal property inspections are accurately documented and corrected within timeframe agreed to.
  • Provide support to Property Accountant with preparation of annual direct expense estimates and reconciliation.
  • Effectively manage the accounts receivables and payables process to ensure timeliness of payments by tenants and vendors and work closely with the Accounting Department to manage the process.
  • Additional duties may be requested by the Vice President, Operations.


Requirements

  • 3 -5 years of previous commercial real estate experience with increasing responsibilities – ideally with Class A properties.
  • California Real Estate License and RPA or CPM designations
  • Strong knowledge of finance and building operations
  • Highly proficient in Microsoft Excel, Word, and Outlook, Yardi, MRI, Timberline, Building Engines, and other commercial real estate software programs.
  • Professional and exceptional leadership, problem solving, and analytical skills.

Education

  • Bachelor’s degree is required.
