Job Description

The College Admissions Coach is the lynchpin of cross-department work at Prepory. They utilize a data-driven and systems-oriented approach to ensure that all parts of the organization are running efficiently and effectively with the end goal of maximizing the ability of students to get into top colleges.

This role requires high attention to detail as the role must ensure all systems are operating at peak effectiveness. They must be able to quickly identify mistakes and errors in the procedures and systems and identify long-term solutions to not only rectify mistakes but also prevent future mistakes from happening.

Beyond a deep understanding of the systems used by Prepory, this position also requires strong interpersonal skills as they must be able to communicate with coaches and HQ staff who are operating these systems. They must be someone who people feel comfortable asking for help, but also have the problem-solving ability to address their needs.

Roles and Responsibilities for the College Admissions Coach

  • Coaches students
  • Communicate regularly with students and their families to identify student needs, goals, and expectations for the college admissions journey.
  • Maintain and manage fruitful client relationships with students, families, and other stakeholders.
  • Provide end-to-end counseling, including individual advising sessions with your cohort of roughly 7-10 students, keeping track of deadlines, responding to student inquiries, and assigning appropriate tasks between sessions to maximize student success.
  • Support student progress by providing personalized advising tailored to each student’s academic and extracurricular opportunities with a focus on intentional, lasting involvement.
  • Lead students in the exploration, research, and discernment of a balanced college list that reflects their academic, professional and personal interests.
  • Mentor students through the writing process for personal statements, supplemental essays, résumés, etc. by helping students identify their personal narrative and providing meaningful and actionable feedback on their materials.
  • Tailor guidance with awareness of each student’s geographic location, financial needs, and long-term goals.
  • Conduct research as needed to support your advising sessions, address inquiries, or present valuable information/resources to your students and their families.
  • Participate in biweekly meetings with 6-8 other Prepory coaches conducted by your assigned Lead Coach.
  • Maintain detailed and regular communication with the Program Director to provide ongoing updates on student and team progress.
  • Be willing to participate as an additional reader in our Committee and Spring Portfolio Review.
  • Take part in other Prepory initiatives as they arise and as directed by Prepory leadership.
  • Manages the entire recruitment and hiring process for all student-facing positions. This entails:
    • Coordinating with sales to determine and maintain a system to forecast, plan, and respond to hiring and recruitment needs.
    • Creating, updating, and posting job descriptions that accurately depict working responsibilities and utilize equitable hiring practices.
    • Managing hiring process logistics through ensuring resources and procedures are used (i.e., where are notes going, how is information shared from one round to the next).
    • Managing and refining hiring practices are equitable and efficient aligning to best practices in the field.
    • Conducting First Round Interviews, and assigning second-round interviews to Lead Coaches, Program Director, or others as necessary (will require communication around capacity and timing).
    • Communicating weekly with CEO and Program Director, to receive
    • Support, ideate around problems, and ensure outcomes.

  • Manages systems to ensure coach capacity, session delivery, enrollment, and graduation completion and accuracy
    • Creates and maintains a system to track and monitor coaching capacity between sales and program.
      • Updates HQ at Weekly check-ins about capacity/hiring
      • Work more closely with Program Director and Client Success Coordinator to analyze program data around capacity and deliverability (including sessions per week, tracking student progress, coaches reporting hours, notes).
    • Ensures alignment of coach capacity with enrollment needs by being the primary reference point for enrollment.
      • Escalates questions concerns to Program Director.
  • Manages the entire Onboarding process with the support of the Program Director. This entails:
    • Creating accounts for coaches (CounselMore, Zoom Phone, and Calendly).
    • Conducting an orientation session with each new coach to cover [introductions, software details, and system processes.
    • Identifies, ideates, implements, and evaluates improvements and modifications to the onboarding systems and sessions (including maximizing utility of different software) in conjunction with Program Director.
    • Identifies pain points with current flow of program operations. Ideates with different departments and implements solutions. Evaluates the effectiveness of solutions and continues the cycle of improvement.
    • Executes data-driven processes to collect information and optimize existing workflows within Program and between departments.
    • Ensures quality controls of all program systems.
    • Identifies, ideates, implements, and evaluates additional projects that support the mission of Prepory.

    Qualifications Of Our Ideal Candidate

    • Graduated from a top 50 university or top 20 liberal arts college
    • Formal admissions experience at an undergraduate or graduate institution and experience in academic mentoring / educational coaching
    • Detailed knowledge of the U.S. college admissions process, familiarity with universities and colleges, and willingness to stay current with changes in the college admission process
    • Prior counseling or teaching experience is a plus
    • Availability to meet with student typically in the mornings and early afternoons and ability to manage multiple priorities and students
    • Impeccable listening, speaking, writing, and grammar skills

    22.75 - 25.75 USD per hour(Prepory HQ)
