Brightways Counseling group is hiring a full-time, experienced Clinical Quality Assurance Specialist to support the daily functions of the Clinical Managers. This role is a part of the HR team and will provide a high level of support to our Clinical Managers. We are looking for someone who can assist with the development of systematic monitoring and evaluation of various aspects of our clinical processes to ensure our standards of quality are being met and maintained. The ideal candidate for this role will be highly analytical and can effectively communicate any patterns or concerns to the Clinical Management team.

Essential Job Duties

  • Triage all admin questions coming to Clinical Managers from clinicians and direct to appropriate people.
  • Support all admin tasks related to internal transfers.
  • Offer admin support related to client complaints.
  • Offer admin support for questionable referrals.
  • Support new process roll outs (as needed and on an approval basis).
  • Monitor performance of clinicians as requested by CMs (Clinical Managers), such as tracking minimums and investigating reasons behind lack of performance.
  • Review scheduling effectiveness for both onboarding and offboarding processes.
  • Perform various audits and bring patterns and issues to the CM.
  • Perform audits on new clinical documentation for new clinicians for the first 2 months, following checklist provided by CM.
  • Perform bi-annual audit for providers after 6 months of hire.
  • Communicate with Scheduling team on any client requests to transfer away from a clinician and track the requests.
  • Ensure open encounter notes are completed within the 48-hour window.
  • Monitor LCNS and notify CM when necessary.
  • Monitor and upload completed and signed consent forms.
  • Offer support with any scheduling issues.
  • Project Management support as needed for the clinical team.
  • Gather and disseminate outside training opportunities.
  • Liaison between Operations and Clinicians.
  • Support administrative training.
  • Review and update SOPs with Managers.
  • Act ethically and appropriately and cooperate fully with all organizational efforts to increase the well-being of our clients and work environment.

Minimum Qualifications

  • Education: Bachelor’s degree preferred.
  • Experience: Three (3) years’ experience in a clinical setting, preferably in a multi-provider practice/hospital/mental health office.

  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Thorough knowledge of employment-related laws and regulations.
  • Knowledge of and experience with varied human resource information systems.
  • Proficient with Microsoft Office Suite or related software.
  • Efficiency and time management skills.
  • Maintain confidentiality requirements.
  • Ability to deal professionally, courteously, and efficiently.
  • Bilingual and multilingual skills are a plus, Spanish preferred.
  • Knowledge of SmartSuite program or the proven ability to learn systems quickly.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer. Must provide own home office setup (space, desk, chair).

  • Compensation starts at $32 - $38 per hour.
