Gathering Waters Charter School Job Description Title: Business Manager Reports to: School Principal Position Purpose and Scope: The Business Manager is responsible for leading the school's financial, human resources, and facilities workflow. They will work under the direct supervision of the School Principal, on administrative matters, including but not limited to; budget setting and management, processing of payables and receivables, reporting and compliance, payroll, human resources management, vendor management, technology and facilities oversight. Financial oversight is provided by the Board of Trustees. Primary Roles & Responsibilities: Finance/Accounting Management: Leads the development of the annual school operating budget. Maintains cash flow reporting and reporting of monthly financial results to appropriate Board of Trustees Committees and other entities as needed. Monitors, on an ongoing basis, expenditures and revenues, making recommendations to the School Principal and Finance Committee as needed. Oversees Assistant Business Manager who manages all Accounts Payable, Accounts Receivable, and payroll. Ensures that GWCS meets all internal and external financial management requirements by enforcing a strong internal control structure; maintaining an accurate and efficient accounting system for disbursements, receipts, cash flow, payroll, procurement, and account reconciliation; maintaining an accurate record-keeping system; and providing direct supervision of all Business Office staff. Keeps the Board of Trustees and Principal informed of the fiscal status of GWCS by providing timely and accurate financial statements and reports, and attending Board of Trustees meetings. Supports the management and planning processes of GWCS by developing, monitoring, analyzing/projecting, and revising budgets as required. Manages employee personnel files and works with the School Principal to establish and maintain employment agreements and internal employee check-lists (credentialing, required professional development, etc.). Receives and codes income and prepares deposits for the General Fund/Operating Account. Works with the School Principal, Academic Support Administrator, and Office Managers to ensure that state and federal forms are completed in a timely and accurate manner. Administers federal, state, and nonprofit grants in which the school participates. Supports, in collaboration with the Development Committee, the private grant application and management process. Works with the School Principal and Faculty Chairs to ensure that all professional development requirements are in compliance with state and federal standards. Attends pertinent business meetings and training sessions offered by the Department of Education. Manages all vendor relations associated with finance, facilities, and human resources. Collaborates with the School Principal and Board of Trustees on lease agreements and landlord relations. Identifies and prepares facilities for necessary inspections. Works with inspecting agencies to correct defects and ensure compliance. Participates in Board Committee work, including but not limited to: Finance Committee, Human Resources Committee, Facilities & Safety Committee, Development Committee, and Board of Trustees meetings. Provides monthly Board of Trustees financial reports. Attend full faculty & staff meetings Other duties as assigned Human Resources Management: Oversees, payroll, benefits, job classification, salary administration, compliance with Title IX of the Civil Rights Act, safety, training, and equal opportunity employment. Develops and administers HR systems, policies, and procedures compliant with federal, state, and local laws. Manages and provides oversight in order to ensure compliance with wage and hour laws, leave administration, worker's compensation, and other federal, state, and local regulations. Cost effective management of worker's compensation and unemployment claims, providing guidance to all levels regarding the nature and direction of claims. Monitors legal compliance of all related laws in relations to Human Resources, including but not limited to EEO, ADA, OSHA, FMLA; manage issues related to immigration and other legal situations as they arise. Prepare compliance reports including but not limited to EEO, OSHA, and Worker's Compensation. Analyzing wage and salary trends, and coordinates salary surveys to determine competitive compensation plan. Outcomes:

  • Supports high levels of faculty and staff satisfaction with overall school operations
  • Ensures little to no variance between school budget and actual spending
  • Creates time and capacity for School Principal to lead program development and school vision priorities Qualifications for Business Manager include: Bachelor's degree required. Bachelor's degree in accounting/finance-related field preferred. A combination of accounting education / knowledge, demonstrated track record in the field and the generally-accepted equivalent in experience may substitute for the required degree. Exceptional organizational and multitasking skills. Experience with state public school reporting requirements or a willingness to learn. Able to work in a timely, accurate, and efficient manner. Highly effective communication and interpersonal skills. Ability to act professionally and diplomatically with students, parents, teachers, and other school staff. Ability to ensure confidentiality with financial records, human resource records and filings, and other confidential information. Proficiency in MS Office, Google Workspace, and other computer skills necessary to provide minor onsite support and interface with IT services vendors. Experience with payroll operations and benefits administration. Experience with student information systems or database software, ideally with the ALMA student information system. Commitment to the school's mission and familiarity with Waldorf philosophy and practices. Expectation to join and complete New Hampshire Association of School Business Officials (NHASBO) Business Administrator Certificate Program or related within 18 months. Five years' experience in finance, payroll, HR management, facility management, and grant writing preferred. Compensation: Competitive salary commensurate with experience.
