SUMMARY

The Business Development Coordinator plays a pivotal role in supporting the Business Development (BD) group by managing administrative tasks, coordinating team activities, maintaining CRM data accuracy, facilitating training sessions, and ensuring seamless communication between various departments. The ideal candidate must demonstrate thorough attention to detail, exceptional organizational abilities, and effective multitasking skills. This role requires availability at one of our regional offices in Midland, TX; Hempstead, TX; Oklahoma City, OK; or Victoria, TX, with occasional travel as needed.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Administer and maintain the Customer Relationship Management (CRM) system.
  • Ensure accurate and up-to-date data entry into the CRM.
  • Conduct regular training sessions to educate team members on CRM updates and best practices.
  • Track and coordinate completion of incentive payments for the BD team.
  • Provide administrative support to the BD group, including handling expenses (e.g., Emburse), and addressing HR needs as required.
  • Coordinate target lists and updates in collaboration with the Leadership Team (LT).
  • Organize and schedule team meetings, ensuring timely communication and follow-up on action items.
  • Coordinate internal trainings within the organization's learning and development framework (IU).
  • Arrange travel logistics for BD Managers and Representatives when necessary.
  • Scribe detailed notes during BD and Operations (Ops) calls, ensuring all information is accurately documented and updated.
  • Collaborate with the marketing team to ensure BD representatives have access to current marketing materials.
  • Coordinate the distribution of updated informational PowerPoint presentations, pamphlets, promotional items (e.g., hats, caps, pens, goodies), etc.
  • Ensure BD representatives receive invitations to pertinent Imperative Company meetings.
  • Track performance reviews and goals for the BD group, providing relevant data to HR for evaluation purposes.
  • Monitor and report on business development successes and setbacks (wins and losses) for both the BD and Ops groups.
  • Perform other duties as assigned by the supervisor or management.

REQUIRED SKILLS, EDUCATION & KNOWLEDGE:

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Proven experience in a similar role, preferably within the oil and gas industry or related sectors.
  • Proficiency in using CRM systems and Microsoft Office Suite (Excel, PowerPoint, Word).
  • Excellent organizational skills with the ability to prioritize tasks and manage time efficiently.
  • Strong interpersonal and communication skills, both verbal and written.
  • Detail-oriented with a high level of accuracy in data entry and documentation.
  • Ability to work independently and collaboratively within a team environment.
  • Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
  • Understanding of business development principles and strategies.
