About The Department

The Office of the Provost at the University of Chicago was established in 1963 when Edward H. Levi was appointed the first Provost of the University. Since then, the responsibilities of the Provost and the Office have expanded to include not only academic planning and appointments but academic initiatives, arts programming, space planning and allocation, the University’s budget, diversity initiatives, faculty program development, and many other manners of academic and administrative support. The staff in the Office of the Provost support the University’s community of scholars, their shared ideals, and the core values that make the University a singular intellectual destination. Together with the University’s deans, directors, and department chairs, the Office of the Provost provides the opportunities, infrastructure, and resources that encourage our faculty and other scholars to pursue their finest work.

Job Summary

Reporting to a Vice Provost, the Associate Provost serves as the strategic partner for campus space planning and capital planning to advance the academic and research mission of the University and operationalize the Vice Provost’s academic oversight of these areas. Working in close partnership with faculty and senior administrators in the academic divisions, professional schools, and administrative units, the Associate Provost has significant decision-making authority and plays a critical role in managing the allocation of space within the University, including developing comprehensive plans for academic program expansion and new program planning, and executing on central or cross-University initiatives. The Associate Provost also leads the annual non-major capital budget planning process, and partners with the University Budget Office on the administration of the capital budget and with Facilities Services on the implementation of projects.

Responsibilities

  • In partnership with the Vice Provost, oversee space and capital planning within the domain of the Office of the Provost.
  • Manage numerous ongoing space planning and capital projects of various scopes, supporting their timely and successful completion.
  • Draft and operationalize space plans to accommodate expansion, contraction, and relocation of programs, for reallocation of space among units and for new institutional initiatives.
  • Partner with the Office of the University Registrar on planning for central instructional spaces.
  • Support planning for major capital projects for new academic facilities and reinvestment in the built environment.
  • Build and maintain collaborative partnerships with senior leaders including the Provost, Academic Deans, Vice Provosts, Vice President for Operations, University Architect, and colleagues in the University. Budget Office, Facilities Services, Information Technology Services, and the Office of the Provost.
  • Establish and maintain strong working relationships across a wide array of University departments, faculty, and staff to facilitate collaboration and effective communication in support of space and capital budget planning both on the local and University-wide levels.
  • Build and maintain an external network of counterparts and peer institutions to stay abreast of space-planning trends, practices, and emerging issues.
  • Support resource planning for the expansion or introduction of academic programs in collaboration with academic program leaders and the University Budget Office.
  • Work with unit partners and Facilities Services to maintain a comprehensive and accurate space inventory of University buildings and rooms.
  • Contribute to institutional research and reporting on space needs, utilization, and allocation.
  • Manage an equitable space allocation process and guidelines that incorporate strategic planning for short- and long-term academic priorities and shifting campus needs.
  • Lead the annual capital planning process for developing the budget recommendation for non-major projects.
  • Administer the capital budget in partnership with the University Budget Office.
  • With the Vice Provost, develop and manage the budgetary dimensions of the University’s space planning and projects.
  • Support and participate actively in campus and capital planning committees.
  • Serve as an emergency point of contact for Facilities Services for time- and academically-sensitive infrastructure problems.
  • Ability to work on campus and remotely occasional nights and weekends.
  • Performs other related work as needed.

Additional Requirements

Education, Experience, or Certifications:

Education

  • A college or university degree required.
  • An advanced degree in business administration, or a related field preferred.

Experience

  • Knowledge and skills developed through at least 5 years of work experience in a related discipline required.
  • At least 10 years’ experience in higher education, capital project management and delivery, or a related field, preferred.
  • Prior experience managing numerous simultaneous projects of varying complexity required.
  • Demonstrated knowledge of budgeting concepts and experience with budget planning and management, preferred.
  • Demonstrated experience in space planning and developing facilities, with knowledge of academic facilities as well as space management, preferred.
  • Experience with capital planning processes and execution, preferred.
  • Knowledge of and interest in higher education administration or its equivalent, preferred.
  • Working knowledge of academic facilities including programmatic and research needs, preferred.

Technical Knowledge Or Skills

  • Proficiency with learning new software and managing databases of information.
  • Mastery of Microsoft Office products (Excel, Outlook, Word, Teams) and design applications (Adobe Acrobat, PowerPoint).
  • Prior experience with space management (e.g. Archibus) and budgeting software (e.g. Oracle).

Working Conditions And Physical Requirements

  • Sitting at a computer for 4-6 hours at a stretch.
  • Regular movement to various campus locations, including site visits under various weather conditions.
  • Ability to work independently for up to 8 hours/day.
  • Option for hybrid work schedule (but largely in person).
  • Occasional nights or weekend hours on campus and/or on video/phone calls.
