The Associate Director of Admissions & Operations position oversees department functions and takes action on assigned leadership tasks and roles. The Associate Director works closely with the Vice President to assess travel and enrollment and make data-driven decisions for recruitment, and then works closely with the Admissions Counselors and Assistant Director to assess travel priorities and provide direction and plan recruitment. The Associate Director closely monitors key enrollment metrics throughout the cycle to ensure the team is pacing to goal. The Associate Director also works closely with the Operations team to ensure the timely and accurate deployment of all recruitment and enrollment communications.

 

ESSENTIAL FUNCTIONS AND BASIC DUTIES


Leadership

  • Supervise Admissions Counselors and Assistant Directors, including coaching, training, assigning tasks, and appraising performance.
  • Delegate responsibilities to ensure policies and decisions are implemented at all levels.
  • Foster a proactive climate to help staff achieve professional goals.
  • Conduct regular team and individual meetings to motivate and address key issues.
  • Support leadership decisions and help staff understand them.
  • Create and monitor key performance indicators to evaluate staff performance.
  • Represent the admissions team at virtual and in-person events.


Recruitment Management

  • Responsible for the Admissions travel plan, budget approval and for developing a plan to cover conflicts
  • Works closely with Vice President of Enrollment Services to identify undergraduate areas of opportunity and potential partnerships. 
  • Provides guidance to staff in general admissions duties, including the planning and implementation of off-campus recruiting activities and prospect/application management
  • Manages day-to-day recruitment operations while ensuring compliance with state and federal regulations
  • Reviews annual enrollment projections with Vice President of Enrollment Services
  • Works with counselors to assess territory growth and shrinkage and use research tools such as RNL’s forecast model and Slate CRM data to determine trends that may impact enrollment
  • Creates an annual territory assessment report inclusive of travel reporting, enrollment reporting, new business development and projections
  • Works closely with key consulting partners including but not limited to Ruffalo Noel Levitz to understand the workflow, process and recommendations and work to implement recommendations with the department and interdepartmentally
  • Collaborate with Associate Director of Transfer Advising on high school, i.e. BOCES, and community college pathways for the timely execution of articulation agreements, scholarship offerings and specfiality events, internally hosted and externally hosted (recruitment)


Operations & Communications

  • Provide direction to staff on special projects such as communication flow, social media, and event planning.
  • Coordinate and supervise training sessions, manage the admissions file reading process, and track applicant contacts.
  • Serve as a liaison with departments like Student Financial Services, Academic Advising, Marketing and Communications, and Student Affairs to ensure process alignment and execution.
  • Manage data capture for recruitment events in Slate and maintain admission-related queries and reports.
  • Oversee and maintain event, operational, and reminder notifications across all admissions programs, ensuring timely, accurate, and effective delivery in coordination with other departments.
  • Stay informed about industry best practices for communication and implement innovative strategies where applicable.


REQUIREMENTS: The person selected will have the following qualifications:

  • Bachelor’s degree required, Masters preferred
  • 4 or more years’ experience in admissions or a sales-related environment
  • At least 2 years of experience in a managerial position
  • Experience working with Slate CRM a must
  • Mastery knowledge of Microsoft Office Suite
  • Ability to multitask, good communication skills, ability to trouble shoot and problem solve, decision making skills, project management skills, well organized, data driven and analytical skills

 

SALARY: $60,000-$63,000
