Assistant Property Manager

SUMMARY: Responsible for property management functions for both office and retail tenants within the Dallas portfolio including tenant relations, budget management, operations management and supporting the objectives of the organization.

JOB DUTIES:

  • Work with property management team to establish positive relationships with all new, existing, and prospective tenants by providing strong customer service and responding to inquiries and issues promptly.
  • Maintain current and accurate tenant and vendor records and correspondence.
  • Responds to tenant needs, ensuring that maintenance needs are addressed promptly.
  • Ensure regular property inspections; recommend and approve maintenance, as necessary.
  • Prepare and coordinate bid proposals and service contracts in conjunction with the operations manager; supervisor vendor services when required.
  • Prepares monthly reports, explaining variances. This includes the review and approval of monthly rent rolls and “Rent Up” reports.
  • Obtain aging report and follow up on all delinquencies in conjunction with Property Coordinator.
  • Assists with budget preparation by researching costs for supplies and services and obtaining bids as directed.
  • Assist with preparations of quarterly Ownership Presentation.
  • Work with property management team to manage operating and capital expenses for portfolio to ensure expenses align within the budget and company objectives.
  • Understand and effectively manage and enforce the requirements of lease agreements, restrictive covenants and other documents governing the properties.
  • Special projects may be assigned as needed.
  • Prepare responses to routine enquiries and function as a conduit for all tenants, vendor, and client requests.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails to both tenants and contracted vendors.
  • Review and approve key communications including default letters, cancellation notices, and other communications as needed.
  • Maintain electronic filing system. More specifically, tenant and vendor files, notice letters, and other communications or pertinent correspondence.
  • Create and manage all service agreements for vendors and license agreements as needed.
  • Assist in managing various components of Maintain X ( or other workorder system) as needed.
  • Maintain Measurabl for Dallas portfolio.
  • Manage the annual distribution via Mail Merge of the Operating Expense Reconciliations and Annual Tenant Rental Charge Letters.
  • Review Emergency Response Plan and Property Response Plan quarterly.
  • Assist with the Annual Budget Presentations as needed.
  • Prepare Agenda for miscellaneous meetings as needed.
  • Manage the new Tenant onboarding process including sending out the possession letter.


REQUIREMENTS:

  • A. Degree required in Business Administration, Real Estate or Finance
  • Minimum 2 years of office or retail real estate experience preferred.
  • Ability to quickly analyze and solve problems.
  • Strong verbal and written communication skills.
  • Advanced knowledge of Microsoft Office Suite.
  • Ability to handle a fast-paced environment.
  • Strong attention to detail and the ability to handle multiple projects and tasks simultaneously.
