Title: Assistant Property Manager - Commercial Office
Salary: 75 - 85K
Job Purpose
The Assistant Property Manager is responsible for assisting with managing and overseeing the Operations and Maintenance of a first-class office campus. This position aims to provide superior service to the buildings, tenants, and Owners. The Assistant Property Manager reports to the Property Manager.
Duties
Tenant Relations: Respond to Tenant requests; coordinate with the Property Manager, Engineering Department, and Maintenance Staff to resolve problems. Maintain positive relationships with all Tenants. Respond to Building issues, problems, and concerns while maintaining compliance with the Building’s Rules and Regulations.
Vendor Relations/Property Inspections: Perform periodic maintenance and janitorial inspections of the Property to ensure maximum performance and efficiency. Coordinate with the property manager to recommend and direct the property's alterations, maintenance, and reconditioning. The position will provide direction and supervision to the Service Contract providers to ensure contract enforcement.
Contract Management: Prepare Request for Proposals, obtain bids, and present recommendations to the Property Manager for timely purchasing of specific goods and services. Assist with contract development, document routing, vendor insurance compliance, and project scheduling. Manage vendor invoice collection and update the Purchase Order/Contract Tracking log. Prepare Incident Reports and related documentation for Corporate, as necessary.
Financial Reporting/Annual Budgets: Assist the property manager in preparing the annual budget, forecasts, and monthly variance reports in detail. The Assistant Property Manager is involved with planning and coordinating operation and capital expenditures, should understand the impact of variance on the NOI and Cash Flow of the Property, and provide variance explanations to the Property Manager for Ownership reporting. Prepares monthly bill-back invoices for review.
Building/Space Improvements: Assists Property Manager with general contractor/subcontractor work coordination and access to building areas. Coordinate vendor maintenance space rekeying and signage requirements.
Administrative Support: This may require preparing and tracking Welcome Packages, tenant billbacks, tenant communications and events, and maintenance of related Operations procedures materials.

- The assistant property manager shall articulate ideas verbally and written clearly and understandably.
- The Assistant Property Manager shall share information with others and seek feedback and constructive criticism.
- The Assistant Property Manager will use diplomacy and tact to negotiate effectively.
- The Assistant Property Manager shall understand the mission and values of the company and be committed to the objectives of the Senior Property Manager. Knowledgeable and adheres to company policies and practices. Understands the cyclical nature of the Real Estate industry and the impact on the Company’s and the Tenant’s business practices
- The Assistant Property Manager will also perform other duties as assigned by the Property Manager or General Manager.
- The ideal candidate will have at least 3-5 years of experience in property management.
- A valid California Real Estate License is preferred but not required for this position.
- Minimum two years college; B.A. /B.S. degree preferred.
- Must be computer literate to perform various computer functions. Experience with Microsoft Office, MRI, and work order software, a plus.
- Ability to multi-task and effectively organize responsibilities to maintain the building management office professionally.
