Project Coordinator

Position Purpose: The primary role of the Project Coordinator is to support the solicitation and procurement of Landscape Design, Design-Build, and Build projects. This includes providing departmental structural organization, standardization, and quality control by implementing techniques to acquire and respond to proposal opportunities, and procuring contracted design and construction projects. The position requires a thorough understanding of bidding procedures and requirements, along with a growing knowledge base of construction and contract compliance.

This position reports to the Director of Public Spaces and coordinates daily with the Sr. Estimator, Operations, and Field teams. Public Spaces supports the company with work efforts, often collaborating with Commercial Maintenance and occasionally with Residential Design.

Position Goal: The department's goal is to increase the capacity, quantity, and quality of Design, Design-Build, and Build of landscapes in the public realm. The goal of this position is to support growth efforts while providing organized and responsive client services.

Estimating

Primary Responsibilities:

  • Costing Support: Collect and organize quotes for materials, services, and equipment. Solicit and receive pricing, and track databases.

Procurement

  • Purchasing Matrix: Create and maintain materials, products, and equipment project control documents, including Excel spreadsheet management.
  • Purchase Orders: Coordinate purchase order packets and track procurement.
  • Scheduling: Coordinate ECL install schedules and sub-contractor schedules.
  • Contract Compliance: Ensure contract compliance, including submittals, documentation, reports, regulatory requirements, and close-out procedures.
  • Sub-Contractor Administration: Ensure contract compliance for sub-contractors.
  • Software: Utilize PlanGrid, BlueBeam Revu, Adobe PDF, and Adobe InDesign.

Scheduling

  • Deliveries: Develop detailed project schedules and coordinate deliveries of materials, products, and equipment.
  • Sub-Contractor: Develop detailed sub-contractor schedules and coordinate with the Project Manager.

Supporting Efforts

  • Support proposal opportunities searches, evaluations, and outreach efforts for landscape design, design-build, and build projects. Coordinate and support other departments as opportunities arise.

Installation

  • Construction Administration: Support the Director, Sr. Estimator, and Project Manager with construction administration activities by organizing, tracking, and reporting contract compliance requirements. Tasks can include pay applications, 811, submittals, permits, agency approvals, and associated assignments.
  • Sub-Contractor Administration: Support the Director, Sr. Estimator, and Project Manager by coordinating, tracking, and reporting Sub-Contractors’ construction administration requirements.
  • Maintain project controls, purchasing matrix, and project closeout processes.
