Job Summary:

This is a full-time position based out of our Mason, Ohio office. Reporting to the Senior Manager of Inventory Planning & Purchasing. The assistant buyer/assistant planner works as part of the Planning and Logistics team and will be directly involved in the purchasing process by working directly with domestic and international vendors to procure product, obtain product information, and most importantly, ensure on time delivery. Additionally, they will support the Product Development team, data maintenance, inventory analysis and specified projects as needed.

Key Responsibilities:

Purchase Order Management

  • Create purchase orders in SAGE (ERP system) based on quantities approved in monthly purchasing review or ad hoc needs
  • Communicate purchase orders to vendors upon PO creation and act as a liaison for additional needs to the vendor (artwork, carton markings, labels, etc.)
  • Request and approve vendor confirmations of POs
    • Review item costs/quantities and discuss any changes with Product and Planning teams
    • Update any revisions to quantity ship and receipt dates within SAGE
  • Review invoices and packing lists to ensure accuracy
    • Forward proforma invoices to finance and ensure necessary deposits to suppliers are communicated clearly
    • Update SAGE with any updates to quantities shipped or ship date revisions
  • Manage the Open PO report
    • Reach out to vendors 3-4 weeks prior to ship to ensure on time booking and shipping
    • Address any changes and communicate issues to Product and Planning teams via weekly Open PO meeting
    • Work closely with Logistics to help problem solve issues if there are booking/shipping resolutions needed
Product & Production Team Support

  • Owns the execution of Work Order Ticket Entry in Sage for Specialty and Key Account production needs
    • Accurately input all necessary information and audit for mistakes
  • Owns weekly Out of Stock & Low inventory report updates to be shared with Sale & Creative teams as directed
    • Ensure out of stock items are updated as needed on digital ordering platforms
  • General item maintenance
    • Update lifecycle changes, prices, cost changes, etc.
    • Pull reports weekly checking for item maintenance activity that needs updated.
  • Review items and categories on the GeoCentral website and other 3d party platforms as directed. Update as needed
    • Remove dropped items that have no inventory
    • Ensure markdowns are reflected appropriately
  • Owns the item setup process
    • Create new items in SAGE based on new item setup sheet provided from the product team
  • Assist with product check in process as directed
  • Additional inventory and PO reports/analysis as needed

Logistics

  • Work directly with our Director of Logistics and Planning Manager to get all vendor shipments booked on time to meet the required in DC date for GeoCentral POs
    • Generally, this means approving bookings, but may require more direct intervention with the vendor situationally
  • In coordination with Expeditor’s, help ensure any missing documentation from vendors gets supplied to keep shipments on schedule
  • Understand the impact customs delays or other unforeseen shipping issues will have on our POs and update them accordingly
    • Communicate to Product and Planning teams if the delays will cause a customer or new release impact
Successful candidates will have:

  • High School Diploma or equivalent. Associate’s or bachelor’s degree preferred
  • Impeccable attention to detail
  • Ability to work as part of a team
  • Excellent organizational skills
  • Ability to manage deadlines and shifting priorities in a fast-paced environment with little direction
  • Self-starter, positive attitude and tireless work ethic
  • Ability to learn new systems and processes
  • Adept in Excel (Pivot tables, VLOOKUP, IF statements, and the drive to learn more), Word, and Outlook
