Position Title: Assistant Athletic Director for Operations and Logistics

Classification: RSSSA

Position Range: Range 3

Reports To: Director of Athletics

Position Goal: To support the Department’s goal of organizing, developing, and directing a District-wide athletic program that promotes socio-emotional growth, encourages good sportsmanship, and fosters positive interactions for all students of the Reading School District, with a specific focus on operations and logistics.

ESSENTIAL FUNCTIONS: This job description does not constitute an exhaustive list of responsibilities, and management may revise it at any time. The essential functions of this position include, but are not limited to, the following essential functions:

  • Supports the design and administration of a robust, competitive interscholastic athletics program for students of secondary-school age and age-appropriate programs of intramural/club athletics for all students.
  • Assists in the development and monitoring of a Department budget, including review and management of requisitions, purchases, and collection of funds.
  • Assists in the development and monitoring of a perpetual inventory system for the purchase of uniforms and equipment that forecasts future expenditures and accountability for assets purchases.
  • Assists in the development and monitoring of a District-wide facilities plan for all district-owned/maintained fields, arenas, and playing surfaces utilized to support Department programming.
  • Assists in carrying out the duties and responsibilities of the “home team”, as warranted, including the sale of tickets, programs, and concessions, as warranted, and the scheduling and payment of officials, game help, and ticket takers.
  • Assists in arranging for visiting teams’ needs, including lodging, meals, gymnasium services, field assistance and emergency care, as appropriate.
  • Assists in the administration of the insurance program concerning student athletes and assumes responsibility for all processing of reports and claims.
  • Assists in the enforcement of all requirements related to academic and other eligibility for secondary-school age students.
  • Represents the District at all extracurricular athletic meetings and keeps abreast of all PIAA and District III matters, as directed.
  • Prepares periodic reports on various components of the Department, as directed.
  • In collaboration with the Director and Human Resources Department, provides leadership in the selection, interview, assignment, on-boarding, supervision, and periodic evaluation, as warranted, of all athletic staff, including coaches, trainers, ticket takers, timekeepers, and equipment managers.
  • In collaboration with the Director and Communications Department, develops and supports a communication plan to ensure regular and clear communications about the Department.
  • In collaboration with designated personnel, identifies, applies for, and manages approved grant funding to support Department initiatives.
  • Contributes to the development and maintenance of an athletic handbook that identifies essential information for all student-athletes and their families relevant to rules and responsibilities for student-athletes in the District, including academic eligibility.
  • Contributes to the development and maintenance of a manual that identifies essential functions and expectations for all adults involved in the District’s athletics program to ensure the health, safety, and welfare of all student-athletes.
  • Assists in the planning and execution of a recognition programs for all athletic activities.
  • Performs other duties as assigned by the Superintendent or his/her designee.

SUPERVISORY RESPONSIBILITIES: Supervises all professional and support staff as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION And/or EXPERIENCE

  • Bachelor’s Degree in Business, Education, Sports Management/Administration, or related field, required.
  • Master’s degree in Business Administration, Education, Sports Management/Administration, or related field, preferred.
  • Demonstrated experience developing and managing an operating budget, required.
  • Demonstrated knowledge of PIAA rules and regulations, required.
  • 3-5 years coaching or officiating experience in PIAA-sanctioned, interscholastic athletics, required.
  • Exposure to and familiarity with a wide-variety of school and neighborhood-based sports and athletic opportunities, required.
  • Prior experience serving as an Assistant Athletics Director, league manager/director, or similarly high-ranking executive role in an organization providing opportunities for school-aged students to engage in athletics, required; with said experience in an urban setting, preferred.

Certificates, Licenses, Registrations

  • Current Pennsylvania operator’s license, required
  • National Interscholastic Athletic Administrators Association (NIAAA) certificated and/or eligible, preferred
  • Certified Athletic Administrator certificated and/or eligible, preferred

Language Skills

  • Ability to speak clearly and distinctly.
  • Ability to write reports, correspondence and procedure manuals.
  • Ability to respond to inquiries from staff and outside agencies.
  • Ability to effectively present information and respond to questions and concerns from management, professional and support staff and the Board of School Directors.
  • Bilingual in Spanish/English, preferred.

Mathematical Skills

  • Ability to work with mathematical concepts such as probability and statistical inference.
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions for practical situations.

Reasoning Ability

  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

OTHER SKILLS And ABILITIES

  • Ability to establish and maintain effective working relationships with students, staff, coaches and the school community.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Ability to apply advanced problem-solving skills.
  • Ability to demonstrate a high degree of interpersonal skills as a representative of administration.
  • Demonstrated ability to utilize Microsoft and Google-Suite products in a professional setting, with ability to learn other necessary technology platforms/products appropriate to the position.
  • Ability to use telephone and greet visitors.
  • Ability to promote the Reading School District Athletic Program and Reading High School to the greater Berks County area and beyond.

Specific vision abilities required by this job include close vision, distance vision, and depth perception. Occasionally, yet essential to this position, the individual must meet deadlines with severe time constraints. The position frequently requires the employee to work irregular or extended hours.

The noise level in the work environment is usually quiet but may be moderate to loud at times. The employee is frequently required to interact with the parents, public, staff during and after the normal workday. The position requires the individual to meet multiple demands from several people and exhibit good human relation skills including courtesy, tact and patience. The employee is directly responsible for the safety, well-being and work output of subordinate staff.

TERMS OF EMPLOYMENT: Full-time 12-month exempt position. Salary and benefits determined by appropriate employment agreement.

EVALUATION: The employee will be formally evaluated annually by the Director of Athletics, in accordance with the provisions of the RSSSA agreement and Board Policy.
