We are seeking a detail-oriented and proactive Arbitration Case Coordinator to join our team. This role involves appointing arbitrators to cases, scheduling pre-hearing conferences and hearings, and handling various administrative tasks including memo generation, electronic filing, and hearing room setup. The ideal candidate will be skilled in administrative duties, able to prioritize work independently, manage routine matters autonomously, and handle complex tasks under supervision.


Hourly pay rate $30/hr.

Must be able to go into the Los Angeles, CA office as needed, (1-4 times a month)

Key Responsibilities:

  • Generate and publish memos to the ODR Portal as instructed.
  • Enter arbitrator rankings into the database, consolidate, and extend lists as necessary.
  • Document reasons for arbitrator changes to case lists, such as withdrawals or requests for removal.
  • Contact arbitrators to serve on cases, appoint, and replace arbitrators following established procedures.
  • Coordinate and schedule conference calls and hearings, notifying all parties and arbitrators in writing.
  • Schedule telephonic conferences with service providers.
  • Process requests and decisions to postpone and reschedule hearings.
  • Maintain electronic and physical files, ensuring prompt filing or scanning of correspondence and preparing files for storage.
  • Input case notes and hearing dates into the case processing system.
  • Reserve and prepare hearing locations for both on-site and off-site hearings.
  • Fulfill recording requests and download digital recordings.
  • Respond to general inquiries from parties and arbitrators, handling more complex questions with minimal assistance.
  • Process incoming emails and faxes from the central inbox and case management system.
  • Review and process incoming Arbitrator Oaths and Orders with limited assistance.
  • Determine the proper composition of arbitration panels, generate arbitrator lists, review arbitrator information for conflicts, and eliminate arbitrators from lists with limited assistance.
  • Review and process arbitrator expense reports and vendor/hotel invoices for submission to Finance.
  • Provide cross-training on Senior Case Coordinator and Case Specialist job functions as needed.
  • Train and guide staff on general to moderately complex issues.


Qualifications:

  • Proven experience in administrative roles, preferably within a legal or arbitration environment.
  • Strong organizational and multitasking skills.
  • Ability to work independently and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in electronic filing systems and database management.
  • Detail-oriented with strong problem-solving abilities.
