Aquatics Team Lead – Job Description

At WAC, we emphasize water safety and fun while helping members and non-members of all ages develop their swimming skills. As the Aquatics Team Lead, you are responsible for all aspects of Aquatics. You lead department’s recruiting, training, operations, customer service, sales, financial profitability and ongoing skill development. You help Swim Lessons Instructors create a welcoming environment, interact with all clients and teach skills and safety in the pool. This is not a behind the scenes management position – you are on the front-line letting your personality shine and connecting with your team, club members and guests. You help your team make relationships with members and guests they see every day via aggressive hospitality. You have the opportunity to create a memorable experience for students/families and develop future leaders.

Key Responsibilities

Leadership

  • Display a member first attitude by training and holding Team Members accountable, not only for being raving fans of WAC, but also for creating raving fans; we are all responsible for attracting and retaining members.
  • Be what you want to see – live the mission and core behaviors.
  • Motivate, inspire and coach the Aquatics team to exceed goals.
  • Constantly recruit and train Aquatics Team Members, encouraging them to develop personally and professionally.
  • Identify, communicate and delegate responsibilities to Aquatics Team Members to ensure smooth pool operations; this starts with the daily pool area walk-through.

Team Building

  • Build and mentor a winning Aquatics team.
  • Pick the best people – lead Aquatics recruiting efforts.
  • Paint a picture and show instructors a path – inspire the best to exceed their potential at WAC.
  • Provide great training; ensure continual skill development by sharing Team Member best practices.
  • Monitor staff certifications and assist in finding opportunities for development and recertification.
  • Give Team Members regular feedback and ask great questions.
  • Catch people doing things right and hand out WAC Bucks.

Income Generation, Planning & Execution

  • Develop goals for all programs and instructors.
  • Monitor and manage staffing and member participation levels.
  • Lead annual reviews of Aquatics Team Members.
  • Measure enrollment, member satisfaction and overall results of all Aquatics programs/classes.
  • Identify opportunities for improvement.
  • Create annual calendar for Aquatics team, which includes events, meetings and ongoing training.
  • Develop and manage Aquatics class schedules to ensure a balance of open, adult and programmed times.
  • Communicate clearly, concisely and accurately by utilizing every major form of communication. Be available.
  • Regularly communicate with the Group Fitness Manager and Director of Group Fitness.
  • Responsible for everything in the Aquatics department.

Aquatics Team Lead – Performance Expectations

I. Daily Operations

  • Execute a daily walk-through of the facility, especially the pool area, to ensure proper conditions.
  • Encourage member rapport by being visible and interacting regularly with members.
  • Monitor the day-to-day operations of the Aquatics department.
  • Educate Team Members and help promote Aquatics classes, programs and events.
  • Complete weekly Manager-On-Duty shifts as needed by the General Manager.
  • Attend all Leadership Meetings. Communicate necessary information to front-line Team Members.
  • Lead all Aquatics meetings.
  • Communicate effectively through a variety of mediums.
  • Send WAC Connections announcements.
  • Be available for communication during all hours. When necessary, designate an assistant or MOD.
  • Follow up on all Aquatics-specific “Contact Us”, suggestion box and social media communication.
  • Create department-specific annual calendar and integrate it with the corporate annual planning guide.

II. Team

  • Recruit, interview, train, coach and develop Team Members for the Aquatics department.
  • Look for potential Aquatics applicants from other in-club departments and respective WAC locations.
  • Conduct new Team Member Wow Training process with all new-hires.
  • Complete 90-day review and ongoing Team Member evaluations.
  • Responsible for all disciplinary actions within the Aquatics department, including possible dismissal.
  • Make recommendations for Team Member compensation increases.
  • Implement all Team Member policies and procedures.
  • Pursue ongoing personal and professional development and share what you learn with others.
  • Approve and coordinate vacations and days off. Assist in finding last-minute substitutes.
  • Work a variety of hours to build solid relationship with Team Members and catch people doing things right.
  • Delegate tasks to Team Members when necessary.

III. Safety

  • Create and maintain a clean and safe environment for anyone who uses the pool area.
  • Know and teach the Safety Plan, Emergency Action Plan and Pool Troubleshooting Guide.
  • Follow all insurance, liability, incident report and month end procedures.
  • Report pool concerns, including equipment and chemical issues, immediately to GM and Maintenance department.

IV. Financial

  • Increase participation levels in Aquatics programs and classes.
  • Audit and approve payroll twice per month. Regulate number of hours worked with respect to the Affordable Care Act.
  • Review Aquatics section of monthly profit and loss statements; use information to improve department’s profitability.
  • Report monthly income and participation numbers to Programming Manager and GM.
  • Responsible for inventory of all equipment and supplies in pool area.
  • Income Generation
  • Teach instructors how to promote programs, activities and events, which leads to higher participation.
  • Train how to up-serve or recommend programs and events that members might be interested in at point of sale.
  • Follow up with non-member participants and refer membership information and opportunities.
  • Oversee all sales and marketing aspects of the Aquatics department to exceed goals.
  • Participate in community organizations and positive social media to actively promote club.

VI. Programming

  • Create and evaluate programs and events in accordance the Program Development Process.
  • Attend programs and classes to evaluate instructors and classes. Instruct classes as needed.
  • Develop strategies to increase participation levels in all programs and classes
  • Organize group lesson schedule and registration for each session.
  • Encourage instructors to submit articles for WAC Magazine.
  • Build group swim lesson schedule and be present for registration session.
  • Facilitate private swim lesson requests.
  • Oversee planning and execution of Aquatics events, including purchasing, staffing and supervision.
  • Be aware of club-specific website and social media content to ensure accuracy.

VII. New Member Integration & Retention

  • Welcome and connect with new families and guests.
  • Integrate new members into the club via Aquatics programs and events.
  • Assist in scheduling new members into Aquatics-specific retention program inquiries.
  • Be personally committed to fitness by actively going through the retention program sessions.
