Job Description
The School Secretary provides office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks- the School Secretary works closely with the staff and administration of the district.
Minimum Qualifications
High school diploma or equivalent
Two years secretarial experience
Demonstrated typing and filing skills
Experience in using various computers and computer programs. Experience with Skyward recommended
Desire to continue career improvement by enhancing skills and job performance
Essential Functions
Provide office and clerical support to assist with the efficient operation of the school district
Maintain accurate and up to date student and staff records using Skyward
Ensure all activities conform to district guidelines
Communicate and work effectively and cooperatively with members of the school district and community
React to change and frequent interruptions in a productive and positive manner- and meeting deadlines as assigned
Operate all equipment appropriately as required
Work to implement the vision and mission of the district
Physical Requirements/Environmental Conditions
Requires prolonged sitting or standing- and use of equipment including repetitive motions and computer eye fatigue
Must occasionally work in noisy and crowded environments- with numerous interruptions
General Responsibilities
Screen visitors and telephone calls- directing them to the appropriate person/ department
Screen and route incoming mail
Compose- type- and copy correspondence- reports- bulletins- records- and other materials
Gather and organize pertinent data as needed
Maintain an orderly filing system
Schedule appointments and assemble material for meetings
Maintain accurate attendance records- and report attendance problems to the principal- the District attorney and SRS
Contact all parents to confirm absences and notify when absences are excessive
Distribute office passes and notes as directed
Maintain and submit a daily log of school hours completed
Order- receive. and distribute supplies
Administer first aid to ill/injured students in the absence of the school nurse according to school policy
Supervise student aides and assist in training new employees
Keep current on new information- innovative ideas and techniques
Call students to the office and assist them with problems- such as lockers- etc.
Assist teachers with forms- equipment- etc.
Assist with organization of building enrollment and scheduling- and file monthly reports with district
Communicate with auditor in regard to student enrollment
Prepare homework requests for absent/suspended students
Coordinate Parent-Teacher Conference schedule
Assemble teacher handbooks
Observe and follow all school district policies at all times
Respond to information requests in a cooperative- courteous- and timely manner
Keep student and personnel information and records confidential
Implement and follow all district health and safety policies- including all precautions of the Bloodborne Pathogens Exposure Control Plan
Perform other duties and assume other responsibilities as assigned by the principal
Tonganoxie USD 464 serves approximately 1,946 students in three schools.
Tonganoxie Elementary School ~ Grades Prekindergarten-5
Tonganoxie Middle School ~ Grades 6-8
Tonganoxie High School ~ Grades 9-12
