Our client, an Investment Firm in Dallas, is searching for a highly organized and detail-oriented individual to join their growing team as an Administrative Specialist In this role, you will provide comprehensive support across various financial, tax, and legal functions. You will work closely with internal teams and external partners to ensure smooth daily operations and accurate recordkeeping.
Responsibilities:
- Gather information and prepare reports for tax filings.
- Assist the finance team with data entry and expense tracking.
- Download and manage third-party financial documents.
- Track and organize financial records.
- Maintain an efficient filing system for easy document retrieval.
- Manage incoming and outgoing correspondence.
- Organize calendars, schedules, and travel arrangements.
- Coordinate meeting logistics.
- Support the legal team with document preparation.
- Manage vehicle documentation.
- Perform ad-hoc projects and assist other administrative personnel.
Experience and Skills:
- Prior experience working alongside executives, finance professionals, and tax advisors is a plus.
- Possess exceptional written and verbal communication skills for clear and concise information exchange.
- Demonstrate exceptional organizational skills, with the ability to multitask and prioritize effectively while managing multiple projects simultaneously.
- Exhibit a meticulous eye for detail and a commitment to delivering high-quality work in all tasks.
- Display a strong sense of urgency, initiative, and ability to prioritize when addressing tasks and responsibilities.
- Demonstrate proactive problem-solving approaches with strong decision-making capabilities.
- Capable of interacting with individuals at all levels within the organization, fostering positive relationships.
- Possess strong interpersonal skills and a collaborative mindset for teamwork.
- Exhibit the ability to handle confidential information with utmost discretion and integrity.
- Demonstrate advanced proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
- Possess the ability to create and format documents, spreadsheets, and presentations with a high degree of accuracy and attention to detail.
- Demonstrate a strong aptitude for learning and adapting to new software tools and technologies as required.
