Summary
The Administrative Manager promotes and supports department goals; providing high quality office management and leadership; ensuring a productive work environment and continuous professional growth among office staff; managing, supervising, hiring/terminating and mentoring administrative staff. The Administrative Manager will independently oversee the department and must manage the offices such that all processes are completed accurately and efficiently with a customer focus. Exemplifies the Rush mission, vision, and values and must act in accordance with Rush policies and procedures.

Summary

Responsibilities
- Directs and/or implements business, administrative and financial decisions and facilitates problem solving of office issues for staff.
- Manages and monitors check requests, travel authorizations and reimbursements and other department-related reimbursements. Ensures Financial Policies and Procedures of the department are consistent with Rush University Policies and Procedures and Corporate Compliance Program.
- Oversee department budget planning and development.
- Track and monitor departmental budgets, project budgets, and department expenditures.
- Oversees the purchase requisitions and approvals process for all department equipment and supplies.
- Manages staff members, overseeing hiring, recognition, performance reviews and discipline of those staff members; coordinates recruitment and training of office staff.
- Coordinate and oversee onsite interviews.
- Provides leadership and direction on the continuous improvement of office functions; provides in-service training to staff as needed to ensure efficient practices.
- Coordinate systems workflow and organize resources to efficiently and effectively address the department’s support needs.
- Manage the program’s centralized application system – includes providing training to new users of the system and developing efficient procedures.
- Manage and maintain all department databases.
- Collaborate with faculty and/or staff to develop and implement improved operational processes for the department.
- Oversee general and complex office support, including file maintenance of records, contracts, and clinical affiliation agreements.
- Coordinate administrative responsibilities in the program, including oversight of the department support staff’s performance of administrative and clerical duties.
- Perform clerical accounting and general office duties as needed.
- Oversee and assist in providing administrative support.
- Create and manage schedules.
- Manage all forms of communication (written, telephone, electronic, website).
- Support the department in the preparation, analysis, and reporting of program performance data.
- Performs other job duties as required.
- Five years’ experience in a management/supervisory capacity.
- Excellent interpersonal and oral/written communication skills.
- Proficiency in Microsoft Office Suite (Word, Access, PowerPoint and Excel).
- Excellent time-management skills and follow-through.
- Ability to grasp new concepts quickly, including an excellent understanding of the department’s complex processes and procedures.
- Ability to work independently, make good decisions and organize at a high level.
- Bachelor’s degree.
- Knowledge of how to manage and direct multiple offices in a hospital/university setting.
- Excellent decision-making and trouble-shooting skills.
- Ability to work with numerous personalities and positions.
