Administrative Assistant - Remote | WFH

We are seeking a highly motivated and proactive individual to provide dedicated support to multiple Senior Leaders within our organization based in Wilton, CT. This position offers an opportunity to contribute to a dynamic team environment and support the operational success of our leaders.

Roles And Responsibilities

Manage complex calendars and scheduling for senior leadership.

Capture and distribute meeting minutes as necessary.

Coordinate travel arrangements for senior executives and occasionally their direct reports.

Foster professional relationships across various levels of the organization and external stakeholders.

Serve as the primary point of contact for inquiries and facilitate effective communication.

Coordinate budget alignment with departmental needs, including event planning and logistics.

Organize and oversee staff meetings and offsite events, ensuring seamless execution.

Uphold confidentiality regarding corporate, personnel, and research matters.

Independently manage multiple projects and prioritize tasks in a fast-paced environment.

Support Program Review meetings and assist with event logistics.

Assist in planning team celebrations and other special events.

Collaborate with international offices to ensure global alignment and coordination.

Demonstrate discretion, initiative, and professionalism in all responsibilities.

Work collaboratively with other support staff to meet organizational objectives.

Education And Experience

Bachelor's Degree required.

Minimum of 5 years of administrative support experience, preferably with 2-3 years at the executive level.

Experience In Matrix Organizations Or Technical/engineering Companies Preferred.

Proficiency in Microsoft Office Suite (Outlook, Word, Teams, Excel, PowerPoint).

Experience with SharePoint and digital collaboration tools is advantageous.

Additional Information

This role is based onsite in Wilton, CT, with flexibility for remote work up to two days a week.

May involve occasional travel based on business needs.

Physical requirements include sitting, walking, and occasional lifting up to 20 pounds.

Vision abilities required include close vision and color perception adjustments.
