The Administrative Assistant provides administrative support to support faculty and students in the Health Sciences Department, an academic teaching department. Job Responsibilities:
- Provides reception services by greeting and responding to inquiries received in person, telephone and email in a timely manner; provides basic information about the Health Sciences department and connects individuals to appropriate personnel who can best provide information
- Supports the administrative business functions of the department by purchasing, maintaining, and organizing office equipment and supplies; utilizing the appropriate process to pay for goods or services purchased by the department; collecting and processing mail and packages; maintaining departmental websites and databases; obtaining and processing textbook adoptions; creating brochures, invitations, announcements, posters, newsletters; scheduling the use of classrooms or department facilities; maintaining the security of classrooms, labs, equipment, and records; preparing and maintaining meeting minutes.
- Assists faculty by typing, collating, scanning/copying or otherwise assisting in preparation of course materials; providing basic formatting and submitting of manuscripts; obtaining desk copies of textbooks; maintaining all course syllabi; scheduling meetings as requested; making travel arrangements as requested; and assisting with financial processes related to teaching or professional activities.
- Assists students by determining who can best provide information needed by the student, providing basic and initial assistance to students with questions about classes, declaring or applying to the majors, registration, permissions, etc. using established guidelines (information in course catalogs, departmental and university documents, and established policies and procedures); communicating departmental activities to students.
- Helps to organize and conduct departmental activities, events and job searches by securing space, equipment, food, or other vendors; preparing, collecting, and printing of invitations, announcements, schedules, applications, or other materials; purchasing materials and awards; coordinating services required with internal/external constituencies; making travel arrangements and reservations; assisting with the event/search as it occurs.
- Assists the Department Chair in creating the academic course schedule; monitoring budget activities; collecting and maintaining student/alumni information as directed; maintaining appointment calendar.
- Contributes to a positive work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
- Maintains confidentiality, diplomatic and effective communication, accurate records, and an organized, safe working environment. Exhibits flexibility, willingness to learn, ability to change.
- Remains competent and current by attending professional development courses, software training classes, and courses and/or training sessions as directed by the Department Chair or required by the University.
- Supports the department by performing all other duties as assigned by the Department Chair.
- An Associate degree and two years of general office experience or an equivalent combination of education and general office experience is required.
- Experience working in higher education is strongly preferred
- Strong communication and interpersonal skills, and ability to interact with all types of people.
- Organized and has ability to accurately and effectively manage multiple concurrent tasks to completion, with possible interruptions.
- Experience using office software, including Microsoft Office Suite, required.
- Proficiency with social media, website management, and Canva is strongly preferred.
- Willingness to learn new work-related software and technology.
- Ability to complete numerical work accurately.
- Ability to problem-solve and seek information and appropriate contacts to move tasks forward.
