Title: Administrative Assistant, Athletics & Extracurricular Programs

Reports To: Director of Athletics and Extracurricular Programs

Employee Type: Full Time, 12 months, Salaried, Exempt

Summary

Working under the direction of the Director of Athletics & Extracurricular Programs, Assistant Athletic Director and/or Designee to coordinate, organize, oversee and perform everyday clerical and administrative duties associated with the athletics and extracurricular programs. Provide secretarial assistance and serve as a liaison between internal and external stakeholders. Performs a variety of secretarial/clerical duties to assist with the day-to- day operations with the ability to maintain confidentiality.

  • Provides office and calendar support to the Director of Athletics
  • Processes letters, memos, reports, social media posts, and other documents
  • Triages athletic concerns when the Director of Athletics is not available
  • Develops and maintains relationships with internal and external parties
  • Completes assigned tasks with accuracy and attention to detail within designated deadlines
  • Confirms day-to-day operational athletics schedule (venues, referees, and Collegium transportation) with internal and external parties
  • Makes additions and deletions to schedules
  • Schedules Coaches Meetings and prepares agenda items
  • Inputs and updates the Athletics and Extracurricular schedule on the primary Collegium School Calendar
  • Responsible for management of sports’ team based communications (Schoology, TeamSnap, GameChanger)
  • Coordinates with the Director of Athletics to facilitate the ordering of resources and materials
  • Collaborates with Human Resources, Operations, and Technology to onboard external contractors
  • Performs general office or clerical duties for the Director and Assistant Director of Athletics and Extracurricular Programs
  • Conducts themselves according to professional, ethical principles that reflect favorably upon the individual and the school
  • Maintains the highest level of confidentiality pertaining to school and students’ and staff information, progress, and records
  • Continually strives to improve methods and interpersonal relationships
  • Assumes other responsibilities assigned by supervisor and/or school administrator
  • Abides by the CCS Employee Manual, CCS policies and procedures, and all current PA Public School expectations

Qualifications

  • Associate’s Degree or professional school certificate or diploma in office administration, business technology, or a related field
  • Minimum of one to three years experience in administrative support or related field
  • Excellent written and verbal communication skills
  • Ability to originate strategic thinking and problem solving
  • Experience and demonstrated competence with clerical and organizational tasks, preferably as an assistant in a school setting
  • Pleasant and professional telephone manner
  • Ability to to diplomatically communicate with administrators, teachers, parents, outside service providers, and students
  • Excellent organizational skills
  • Knowledge of basic computer operations
  • Required Clearances include Criminal Background Clearance (Act 34), Child Abuse Clearance (Act 151), and FBI Fingerprint Clearance (Act 114), all dated within one year of receipt
  • Meets criteria for employment in a PA Public School
