Overview

Maintains office services by organizing office operations and procedures; controlling correspondence; designing and maintaining filing systems; developing and documenting office policies and procedures; reviewing and approving supply requisitions; assisting with clerical functions, among other tasks. This position has a large emphasis on written and verbal communication as well as organizational skills. This opportunity has potential room for growth.

Responsibilities

  • Take responsibility for office administrative operations and front desk duties
  • Answer, screen, and transfer inbound phone calls, as well as receive and direct visitors and clients
  • General clerical duties including photocopying, fax, and mailing
  • Prepare and modify documents including correspondence, expense reports, and draft reports
  • Schedule and coordinate meetings, appointments, and interviews
  • Record, compile, transcribe, and distribute meeting minutes
  • Maintain office and kitchen supply inventories, and coordinate maintenance of office equipment
  • Develops and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Aids the organization of team building and company events.
  • Assists with the development of monthly client invoices
  • Keeps and maintains office-wide personnel records
  • Provides assistance to employees on time-keeping policies and ensures timesheets are completed correctly
  • Facilitates HR activities for the firm, providing guidance to employees as necessary
  • Liaison for property management, building management, and support service vendors

Qualifications

BA / BS degree in journalism, communications, fine arts, business administration or similar disciplines is preferred. The candidate must possess a minimum of 0-1 years of experience. Previous experience working in a similar capacity in the A&E field is preferred, but not required. Must have excellent written and oral communication skills, flexibility when under strict deadlines, a professional can-do attitude, a detail-oriented mindset, and a willingness to learn.

Proficiency with Microsoft Outlook, Word, and Excel, including experience with filtering data, and basic algebraic functions, is highly desired. Recent graduates are encouraged to apply.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company’s annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
