Job Description

The Administrative Assistant will be responsible for providing support to the Operations Manager and the Project Managers of the organization. This position will be responsible for answering phones, scheduling meetings, and providing administrative support to the Project Manager's for the construction projects needs. The Administrative Assistant will also assist in the day-to-day operations of the organization.

Responsibilities:

  • Manage and maintain executive calendars, scheduling appointments and organizing meetings
  • Handle incoming and outgoing phone calls, mails, and correspondence
  • Prepare and edit documents, reports, and presentations
  • Assist with travel arrangements and expense reports
  • Perform general administrative tasks such as filing, scanning, and maintaining office supplies
  • Handle sensitive and confidential information with integrity.
  • Assist with scheduling appointments and maintaining calendars.
  • Perform general clerical duties, including but not limited to photocopying, faxing, mailing, and filing.
  • Transcribe meeting minutes and other important notes. Provide administrative support to various departments as needed.

Qualifications:

  • Familiarity with phone systems and office equipment operation
  • Excellent written and verbal communication skills
  • Exceptional attention to detail and accuracy
  • Ability to prioritize tasks and manage time effectively.
  • Proven ability to maintain confidentiality.
  • Strong organizational skills with the ability to multitask.
  • Proficient in Viewpoint is preferred
  • Internet research abilities and strong communication skills are required

Pay: $19.00 - $25.00 per hour
