Job Description

Position: Administrative Assistant

Responsibilities:

  • Provide high-level administrative support to the hedge fund sales team.
  • Assist in client onboarding process
  • Maintain hedge fund sales proprietary client management data base
  • Coordinate domestic and international travel, including airfare, hotel arrangements, and car service
  • Maintain teams calendar, schedule all meetings and conference calls, field e-mails and phone calls, handle meeting conflicts
  • Client interaction; act as liaison with clients and their assistants.
  • Manage multiple calendars while anticipating needs
  • Prepare and submit expenses via SAP Concur
  • Coordinate internal and external meetings and conference calls
  • Work closely with team members when they are traveling
  • Coordinate print and production of documents and materials

Required Background/Skills:

  • Superior time management, organization, and adaptability skills with a strong attention to detail
  • Highly motivated and proactive self-starter
  • Quick learner with the ability to multi-task
  • Ability to deal with confidential information with a high level of discretion
  • Excellent verbal and written communication skills
  • Experience using SAP Concur preferred
  • Experience working in a trading floor environment preferred

Minimum Requirements:

  • Bachelor’s Degree
  • 5+ years of administrative experience preferred
  • Strong computer skills with proficient knowledge of MS Outlook, Word, Excel and PowerPoint

Primary Location Full Time Salary Range of $95,000 to $115,000

The salary offered will take into consideration an individual’s experience level and qualifications.
