Job Summary
Our client, a boutique alternative investment management firm, is seeking a temp to perm Administrative Assistant to support the CEO. This role will consist of 50% second personal assistant to the CEO, 30% office maintenance and reception, 20% aiding with ad hoc projects. The ideal candidate is an intelligent and positive presence who would like to learn from an experienced EA.
HYBRID: Initially the candidate would come into the office five days a week for training. Gradually this will scale down to a minimum of three days a week in-office, assuming polices don’t change.
Responsibilities:
Assist with accounting tasks and expense reports
Aiding with event planning and internal project
Maintain office and kitchen supplies, fax, scan, email, shred documentation
Answer main phone line and direct calls as need be
Arrange for messengers and FedEx service
Liaise with building manager as needed
Prepare and mail documents
Assist with company errands (coffee, banking, post office, etc.)
Assist CEO with travel arrangements, calendar management, and other support
Assist the CEO with personal assistance such as reservations and appointments.
Requirements:
1-2 years of administrative experience
An energetic and enthusiastic demeanor, and a willingness to help with whatever ad hoc tasks that may arise.
Frequent communication, teamwork, and a positive disposition is expected within the admin team.
