Typical Task Breakdown and Operating Rhythm:

  • Manage calendars proactively and prioritize scheduling based on business priorities.
  • Coordinate domestic and international travel plans.
  • Assist with onboarding new hires and vendor staff.
  • Plan and execute team events.
  • Prepare and process expense reports.
  • Ensure timely flow of information and approvals.
  • Maintain confidentiality of sensitive information.
  • Support engineering teams with T&E budgets, employee onboarding, and office space management.
  • Communicate effectively and build relationships within the business support community and leadership.
  • Solve complex problems and pivot as needed.

Candidate Requirements:

  • Years of Experience Required: 4 years of experience
  • Degrees or Certifications Required: BA/BS degree is desirable but not required.
  • Disqualifiers: Candidates without relevant work experience as administrative assistants.
  • Best vs. Average: The ideal candidate will have experience with Microsoft internal tools, onboarding tasks, planning team events, managing budgets, and strong communication and organizational skills.
  • Performance Indicators: Performance will be assessed based on the quality of work and feedback from the team.


Top 3 Hard Skills Required + Years of Experience:

  1. Minimum 3+ years prior experience with MS internal tools preferred.
  2. Minimum 3 years proficiency with Microsoft software, including Microsoft Office and Outlook.
  3. Minimum 3 years of experience with calendaring.


A Typical Day Might Look Like:

  • Proactively managing calendars, making prioritization decisions.
  • Partnering with business administrators to support engineering teams.
  • Managing domestic and international travel plans.
  • Onboarding new hires and vendor staff, managing office space.
  • Preparing and processing expense reports.
  • Ensuring the timely flow of information and process approvals.
  • Communicating effectively within the business support community and leadership.
  • Solving complex problems as they arise.
  • Ensuring compliance with company policies and procedures.
  • Adapting quickly to changes and maintaining flexibility.
