Our client is an award-winning, international architectural lighting design company with the mission to enhance the enjoyment of spaces through the power of light. They are searching for an Administrative Assistant to join their Architectural Design team in Dallas, TX.

Job Summary

We are seeking a dedicated Administrative Assistant to support our team in various administrative and client-facing tasks. The ideal candidate will have excellent organizational skills, a keen eye for detail, and a passion for providing exceptional service to our clients. This role offers the opportunity to grow into a showroom manager position for the right candidate.


Job Responsibilities:

  • Perform general administrative duties such as answering phones, responding to emails, and managing correspondence.
  • Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial reporting.
  • Reach out to clients to gather project information, coordinate appointments, and provide updates on project progress.
  • Maintain organized client records and databases to ensure accurate and efficient communication.
  • Prepare documents, presentations, and other materials as needed for client meetings and presentations.
  • Provide support to the sales and design teams by scheduling appointments, coordinating deliveries, and assisting with showroom presentations.
  • Assist with showroom management duties including inventory management, product displays, and maintaining a welcoming environment for clients.
  • Act as a point of contact for clients visiting the showroom, providing information about our products and services and offering personalized assistance as needed.


Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in an administrative or customer service role, preferably in a luxury retail or design environment.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other common business software.
  • Basic knowledge of bookkeeping principles and experience with accounting software is a plus.
  • Client-focused mindset with a passion for delivering exceptional service and building strong relationships.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Interest in design and lighting preferred, with a willingness to learn and expand knowledge in the field.
