Accounts Receivable/Office Admin

This position will be managed by the AR manager

  • Proficient in Excel as well as experience working in ERP/billing systems (NetSuite/QuickBooks) preferred

Office Management Duties

  • Mandatory physical presence in the Boston office on Monday, Wednesday & Friday
  • Management of Physical Mail
    • Sort, scan and distribute inbound mail
    • Set up outgoing mail shipments
    • Scanning checks for mobile deposit
    • Triage Voicemail (Zoom)
    • Track and re-order office supplies, snacks and drinks
    • Respond to office requests (schedule repairs for office appliances/technology, increase accessibility)
    • Send internal gifts (new hire swag, 10-year anniversary gifts etc.)
    • Organize and maintain the office spaces
    • Act as the building manager’s Posit point of contact

    AR Duties For Banking/Customer Engagement

    • Invoice confirmations (JIRA)
    • Remittance Advice Tracking
    • Bank Transaction Uploads
    • Scanning checks for mobile deposit
    • Payment Application (ACH/WIRE)

    Within 1 Month, You’ll

    • Learn about basic accounting procedures
    • Gain knowledge about major/minor accounts
    • Learn about collections procedures

    Within 3 Months, You’ll

    • Feel confident about navigating our NetSuite ERP system, Salesforce system, and banking portals
    • Understand and feel confident in providing business information to internal and external stakeholders.

    Within 6 Months, You’ll

    • Have developed important relationships with different departments in the business
    • Be the in-office contact for those who need assistance from our headquarters (Boston)
    • Own and manage different AR processes
    • Begin to enhance current processes and develop new processes for a more efficient day to day operation
