Accounts Payable/Receivable Representative

Your Tasks:

This role will be responsible for managing and processing invoices, payments and vendor refunds. This role handles account reconciliations, maintain financial records, and resolve billing discrepancies. Efficient communication with vendors, internal teams and stakeholders are essential in this role to ensure timely payments. This role will serve as a backup for Concur Travel and Expense and will support employees throughout the entire expense reimbursement and business travel experience by using the Concur system. This role will support business leadership with advising on T&E Policies and Procedures enforcement, monitoring and updating our Concur Configuration, and by providing/analyzing reporting.

Essential Duties and Responsibilities:

  • Daily review and processing of incoming invoices and statements to ensure timely payment to vendors for all Business Units; verify discrepancies and resolve vendor issues for both internal and external vendors in a timely manner.
  • Reviewing, Confirming and Updating Accurate information in OCR system, as well as initiating and maintaining Release workflow.
  • Managing investigations for all internal business units to resolve any invoices to Purchase Order issues including pricing, receiving, and Service Entry issues.
  • In charge of reviewing, understanding, and properly assigning General ledger and cost centers to ensure financial statements are accurate.
  • Review and obtain the appropriate approvals for payment of invoices received that do not require an assigned Purchase Order for payment.
  • Responsible for the month-end Accounts Payable accruals reflects all on-going monthly items that did not arrive in time for the appropriate processing are noted and accounted for in the month the expenses are generated.
  • Oversee the assigned Accounts Payable email box for incoming invoices and timely respond to inquiries.
  • Process weekly batch payments and corresponding SAP payment reconciliations; monitor and run scheduled audits on employee reimbursements for overpayments.
  • Serve as backup point of contact for all expense reimbursement matters, including review of all employee expense reports for accuracy and policy compliance, collaboration with employees and supervisors on discrepancies, and ultimately processing approvals in a timely manner.
  • Conduct comprehensive training sessions for employees on Concur Travel and Expense policies, procedures, and system navigation, and compliance requirements.

Requirements:

  • Associates degree; Minimum of 3 years’ experience in an accounting position; or equivalent combination of education and experience.
  • Experienced in MS Office products (Word, Excel) and familiarity with ERP systems (SAP).
  • Experience in high-volume electronic Accounts Payable processing environment.
  • Working knowledge of GAAP.
  • Concur System Administration experience required.
  • Concur Expense experience required.
  • Concur Business Intelligence (IBM Cognos Reporting) experience required.
  • Concur Travel experience preferred.

  • Demonstrated ability to analyze, compare and interpret data, format into reports and make judgements based upon this knowledge.
  • Demonstrated ability to communicate effectively both verbally and in writing.
  • Ability to plan, organize, and prioritize multiple and simultaneous projects/assignments.
  • Ability to perform duties with relative independence and the capacity to work as part of a team.
  • Ability to make key decisions in high stress situations.
  • Excellent verbal and written communication at all levels of organization.

Physical Demands:

While performing the duties of this job, the employee is regularly required to walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is required to stand; climb or balance and stoop, kneel, crouch. The employee may occasionally lift and/or move up to 25 pounds. Must have ability to handle more than one task at a time and must work at a rapid pace while maintaining attention to detail.
