That unexpected scope changes can occur in your supply chain or workflow is usually the key to maintaining healthy communication, so start there when you start work with a client. Much like building a house, you'll have a plan, a design, and scheduled walkthroughs of what the house could, should, and is looking like as you progress. But no house lives in a vacuum - sometimes the client wants 12" OC instead of 16" OC studs. The timber supply chain is affecting lumber availability and delivery. Painters usually wait for drywall to completely finish before they begin. Effective communication is then pre-emptive, ongoing, diplomatic, and anticipatory. As no product lives in a vacuum, the unexpected is often inevitable.

It’s always good to have the Change Mgmt process documented in the project charter / kick-off. This will provide a safe space to discuss scope changes along with the proper approval mechanism. If this was missed out, then the best scenario will be to have it discussed and approved in the upcoming SteerCo / Manco. Ensure you build consensus with business heads and stakeholders well in advance.
