What are some effective ways to communicate analytical findings to your team?

Communicating analytical findings to your team effectively involves several key steps to ensure that the information is understood and can be acted upon. However, in my opinion, the first thing you should do is be sure you know your team members' backgrounds and the basic level of understanding each of them has. Your team may consist of people with varying levels of expertise in data analysis. For example, some may be very comfortable with statistical concepts, while others may not. Assessing the general level of data literacy within your team is crucial. This helps you determine how much background information or explanation is needed for your findings to be understood.

Remember the objective of your analysis and let the results take you where they point. Beware of trying to make the analysis fit a preconceived notion, even if you think it might be more palatable to your audience.

It's also helpful to think about your audience from their perspective. If they are manager+, leader, etc., they are likely more interested in the outcome and the "so what" from the data, especially if they are busy with other responsibilities. They trust that you've checked your analytical work for errors already! On the other hand, I find it much easier to communicate with peers (ex. for me: analysts, associates) about the nuances of the findings/data.

This piece is so critical! And yes, it means you need to do your homework and prewire with folks you know may derail the conversation either with disagreement or many questions. I also think it's really important to summarize the point (why they should care) at the start of the communication and then provide the additional details once your audience has heard WHY they should care.

The goal is not just to present data, but to convey information in a way that’s meaningful and useful to your audience. This often involves translating complex analytical findings into insights that your audience can understand and act upon. Knowing your audience and tailoring your communication to their needs and preferences is key to achieving this goal.

Possessing stellar analytical skills is a cornerstone for solving problems, making informed decisions, and presenting data. However, the true power of analytics is unleashed only when you can effectively communicate your findings! And your format will significantly impact how others receive and understand your insights. The key is to choose the format that aligns with your analytical goals, accentuates your key points, and captivates your audience. Remember, your audience may not be data people! The ultimate goal is to engage your audience and facilitate understanding. Tailor your communication to the needs and preferences of your audience, and don’t shy away from using a mix of formats if it helps convey your message more effectively.

Be weary of throwing too many numbers at your audience irrespective of whether they are technical or non technical. The audience will always remember the story you tell but won't always remember the numbers. Telling a story with few numbers is far more engaging

Think about the purpose of what is being meant to convey. Often by focussing on, whether it is a graphic, table, graph ect. on the elements that really drive what is being captured, how it relates, and why it matters will help the creator pick the best format to convey the information.

Besides looking at the format of the visualization, think of the storyline of what is to be conveyed to the audience generally the storyline will determine what type of charts or table that will be used to visualize the data.

Advice from 20+ years in this space - keep it simple. Probably the most impactful analytical insights sharing I have seen is the use of a single Pareto chart (bar chart stacked by magnitude aka priority) with an arrow pointing to the biggest bar and insights in a little call out box. People get overwhelmed with data - I have a rule, if the chart does not inform action or key decisions, get rid of it. Charts like a Pareto are clear and you cannot run away from the message.

Focus on the insights and recommendations when presenting to your business stakeholders and Executive team, not your approach and technique. Too often data and analytics professionals will technically describe what they've done and assume that their audience will be able to interpret their analysis or visualisation. Anchoring your audience to the key observations and providing actionable insights will help you to get real cut through and buy-in with them. Saving the technical detail for your team/chapter meetings will ensure you have the right audience who'll appreciate and recognise all the heavy lifting that you've done. It's a great way to share knowledge, source informed feedback and build your credibility.

Standardize your language and formatting so that your program's messaging acts as a "single voice" of intelligence analysis for your organization. Do this by aligning to industry recognized standards and developing your own operating procedures, rules of engagement, and style guides. These foundational assets bind your team together and create confidence for your stakeholders.

Three considerations that helped me and my team increase effectiveness at being strategic partners were: 1. Connect it back to the questions we can now answer for our stakeholders. These questions are from the point of view of the user of your analytics product. This way you can clearly articulate the value of your work in decision making. 2. If presenting, reserve the 'how we did it' part for the appendix and only cover it if somebody specifically asks. Unless presenting to an audience who would be interested in learning the tech specs, skip the details but be ready to talk about it if asked. 3. Clearly articulate the key takeaways if there's a lot you are covering.

While explaining to the audience the message should be plain and simple to grasp. Data should be concise and we should not be beating around the bush. This can be achieved if you tell things in points instead of story telling format. There should be a sequence. That will be easily understandable.

I think it is really important to name terms exactly as they are written in the charts, diagrams and graphics, because the audience is trying to understand the information audially and it can be difficult for some people.

The context and why it matters are critical with conveying a message as well as persuading the audience to really consider investing the time an energy on why they should engage with the concepts. Any time you are conveying information, you are also negotiating to get their focus. Easier and straightforward the easier it is to convince people to actively listen.

The 5 second rule comes to the rescue. For every infographics you are presenting show it to any person outside your team and ask him/her what he/she understands from it. If they understand it it will be a Hit.

Context is important, especially if you want to show something that is not noticed easily, but has significance. Like a steady but slight upward or downward trend for a specific product or market that is not one of the top 10 or bottom 10. Carefully consider how you want to present it - show the helicopter view and zoom in, or show the micro view and zoom out. The first may be better for when you want to show interesting deviations from the norm; the latter may be for when the finding is minor in itself, but has implications for the big picture and is probably significant for the future.

The background information provides the audience with an easy way to link your interpretation of the results with business problem and suggested course of action or business recommendation.

Clearly distinguish between facts, commentaries, assumptions, assessments, decision support and remaining uncertainties. It will increase trust, motivate additional means of gathering data, and it will clarify and reduce remaining analysis needs post dissemination. Differentiating between the six will help frame the space where assessments and assumptions are needed, thereby enabling the analyst to adress further uncertainties, further clarifying where additional data is needed for specified uses.

It's your role to distill complex data into digestible, actionable insights and tell that story to your audience. Storytelling plays a pivotal role in this process. Crafting a compelling narrative around the data not only aids in guiding the audience through the analytical journey but also humanizes the findings, making them more relatable and memorable. In my experience, I’ve found that a well-structured story highlighting critical findings along with aptly chosen visual aids significantly reduces misinterpretation and enhances audience engagement. Balancing depth with clarity, ensuring relevance, and employing effective storytelling transforms data into a compelling narrative, driving impactful actions and informed decision-making.

In my experience, a very clear and concise presentation of takeaways is critical. A bulleted format is preferable, as it becomes more easily understandable. I firmly agree visual aids can be powerful in presenting the underlying takeaways from analytical findings. Too much data, information and analysis can be overwhelming indeed!

Data is just numbers with a story, most of the time when sharing data with teams they are looking to answer questions (assuming you sending it to non- data teams. If your data is unclear people make the wrong assumptions and take the findings ad decisions in the wrong direction. Similar to writing an article most people only read the headline and the first few words so ensure it gives a fair overview. For individuals that want more information, they will read on, or click through the dashboards but don't assume that is common place.

Complex data - Simplified - Clearly explained outcomes - Presentable format - Right audience - Way forward..This flow path is an universal approach irrespective of the kind of data.

Make sure that the analysis is presented in a clear and concise manner that the audience can clearly understand the points you are trying to convey. Focus on the more impactful analytical findings, and present it visually in order to get the point(s) across to the audience. Keeping it simple can capture the audience's attention, them being more engaged which results in productive conversations. Never underestimate the power of simplicity.

Provide visuals! People remember and understand information a whole lot better when it is represented both visually and verbally. Using colors to easily identify strengths and weaknesses is ideal. This will allow the audience to see at a glance how things are going. Bullet points are key as well. Short, succinct bullet points help to highlight important information. They are a lot easier to read than full sentences and will help to communicate findings more effectively.

Sending next steps and requesting feedback is a crucial step, as these next actions serve as actionable items for the team and assist the organization in monitoring its future growth

Ask the audience which decision points they hope to use the analytic product for, and after having communicated the findings, ask which remaining information requirements remain amongst key decision makers. Also ask recipients where uncertainty may have been increased as a result of the analytic product. Adressing these concerns in a revised product clearly increases the value and potentially the use cases of the product. Success is measured in increased data flow for follow-on analytic products.

I always prefer having a quick zoom call with the team in terms of communication and then document on email . I always like to quantify things in terms of percentage as it allows to track our progress, motivate team to work hard and also determine how far we have reached .

Make templates (and use them!)--reporting templates for recurring reports, templates for adding analytical inputs to product/operational projects. Even ad-hoc analysis presentations should all follow a template. In the beginning it may take a little more time for stakeholders to grok the content from a template rather than from a bespoke piece of analysis--but the tradeoff is worth it because insights become 10x easier to derive once they are accustomed to the structure. (It also saves time.)
