In order to perform your duties as a Board, it is very important to understand the expectations of the Shareholders and Stakeholders. Understanding their needs and requirements to better help in creating right strategic directions of the Company. The Board can understand their requirements via questionnaires, survey, workshops or meetings with them.

Addressing shareholders' and stakeholders' concerns is one of the primary KPIs of Board performance. The evidence of how these concerns were discussed and addressed should be recorded in Board minutes in a fully transparent way. After the Board has collected feedback, heard from senior management representatives, discussed the corroborative data and findings, governed the way, magnitude and measures of response, and followed up on the progress in their regular meetings, they can sleep peacefully and the stakeholders will trust their leadership as well. Other than this, mostly governance for the sake of it just points to the existence of an ill-functioning Board.

A governance board will have less direct contact with many stakeholders so it would mean a much more concerted effort, for example leading an ERG on a specific issue related to employees as stakeholders. It may not always be in the executive board's interest to share data transparently.

Clearly define the types of feedback needed and set specific objectives for obtaining this feedback. Determine whether you're seeking feedback on products/services, customer satisfaction, organizational climate, social impact, or other aspects.

Data floods can quickly turn feedback into useless statements. If you are trying to solicit actionable feedback, ask a few specific questions, especially if the areas of need are pre-determined. With few questions, you are more likely to solicit advice to move you towards your goals and not overwhelm the stakeholders with open-ended essays.
