How do you balance quality and speed on a tight budget?

At the IRS, I started a MicroLearning Videos program called Self-Help Online Tutorials (SHOTs). They are 3 min or less in length, are narrated, and helps our 84,000+ internal employees learn on-demand and are ideal for in-the-flow-of-work-learning. To make these videos, you need to perform a Micro-Analysis of the topic you want to make videos about. Break it down to only one action, topic, process, etc per video. Also when creating the storyboard for your videos, be sure to focus on the what and the need-to-know information and leave out the history or fluff.

Balancing quality and speed within budget constraints requires strategic planning. Prioritize tasks based on importance to the final product. Optimize workflows by using efficient editing techniques and templates. Automate repetitive processes where possible. Communicate clear expectations and deadlines with the team. Consider outsourcing non-critical tasks to specialized professionals. Regularly reassess and adjust the workflow to ensure efficiency without compromising quality, utilizing available resources effectively within the given budget limitations.

By planning out your entire team from pre though post production, sharing out the potential timeline BEFORE the job gets booked and lining up as many necessary resources, studios, crew, etc- early on as possible, you can save a lot of last minute spin. Leverage your task list function or add calendar reminders when you set up the timeline so you and any other key members have a tangible reminder of what needs to be accomplished when there are competing priorities. We use HIVE's task function w/due dates. Templatize as much as possible to efficiently get information out to clients and crew. Weekly touch bases with key team / clients is critical to maintaining information flow and getting necessary approvals to keep the project moving.

Planning out your video before filming with storyboards, shot lists, moodboards, color pallettes and finding sounds you might use can dramatically reduce the time it takes to edit. Also if shooting in higher resolutions make use of proxies as they can save time on the edit as well. Keep your client well informed as you progress in the edit so no big surprises come up when presenting at the end

I have always employed two models when approaching limited-budget projects - Firstly, the project management triangle to define the constraints and secondly, the Project Management Body of Knowledge (PMBOK) to allocate and manage resources. It is essential to manage client expectations, especially when a client is looking for a Hollywood outcome on a home video budget. Allocating more time to planning (script, storyboarding etc) will help you avoid putting expensive fires out during production and post-production. Breaking into the film industry will always see you grappling with small budgets, so the better you get at managing constraints, especially scope creep, will always see you produce better quality based on planned outcomes.

To save time setting up project folders in the future I create one folder with various other labeled folders pre labeled from which I can copy and reuse on every project. It also helps me keep super organized. Save time using proxies and if really short on time remixing templates can save you in a pinch but make sure you try to put your own style into customizing it. Lastly always back up your files on multiple drives as soon as you get home from filming. Make sure you name and organize correctly to save you from potential headaches while editing

The part of optimizing workflow that many people miss is that it's really about reducing risks from biggest to smallest, in sequence. It's good to be fast, but speeding up at the wrong things doesn't help. What is the greatest danger for this project, or scene, or frame? How can we mitigate against that risk? What one decision or one piece of information would make the difference here? What is the fastest & cheapest way to get that? Often it comes down to testing with the target audience at critical points. It doesn't matter what the editor felt when, or anyone on the production team, only the audience. So optimize your workflow for speed and communication within your team, absolutely. But never at the expense of the audience objective.

Setting up an optimal workflow is only as good as the person responsible for executing it, so a good start to any post-production workflow is to hire the right professionals for the job. In low-budget scenarios, one thing that should never be overlooked is data integrity and data redundancy. Hard drives can fail and reshoots are expensive. Hire a data wrangler or DIT to manage and organise your data on set before you encounter nasty surprises in the cutting room.

We all have had projects where the filming has taken longer or reshoots have been required, this often has an affect on the editing deadline. To speed your process create a timeline with placeholders and pre edit the elements you can while you wait for the other sections to be delivered. Use presets for the project and create general use presets that look good before you need them. Know your shortcuts and create a simple well cut and flowing version first, then if you get more time add in a bit of flair, but get the clean, graded and flowing edit first.

Test with your target audience as early and as often as is possible. Use this to advocate for what is truly needed with your stakeholders, and choose your battles carefully. Then simply refine until deadline. When the time comes, you are done. Your work will not be perfect, but it had better be tested and ready!

I have found that one thing that helps most limited-budget projects succeed in the quality struggle is allocating enough time for review, changes and quality assurance. Ensuring that there are no errors in the project that are a blaring signal of the lack of resources can take a heavy toll on your reputation as a filmmaker and the chance to work with the client again on a larger budget when the time arises.

Make sure that you have the conversation about the "project triangle" as early as possible - ideally before any formal agreement is in place and certainly before the project begins. There will always be a trade-off between time, cost, and quality. The client needs decide the combination of those three factors they're most comfortable with.

Constantly review your work as you progress. Make improvements iteratively instead of waiting until the end. This approach can help you maintain both quality and speed. Gather feedback from peers or clients during the editing process. This can help you catch issues early and make necessary adjustments without going over budget.

Feedback, feedback, feedback. Feedback is key and more you communicate with your customer, better the end result will be and bigger are the chances he/she will come back to your for his/her next project. Before anything, you need to know who will be the audience and where the film, clip, commercial is going to be screened and/or published. What version will be needed? Square? Horizontal? Vertical for social networks? Avoid surprises by asking the right questions.

Honestly a HUGE thing to consider is the problem of perfectionism. We all want our videos to be the best of the best and go viral. But when you’re starting out and on a tighter budget, quantity is actually almost as important as quantity. Any YouTube creator would say the same thing. Set deadlines and put content out. I’ve been in the industry for 4+ years, and everything I’ve learned has come from watching videos and making my own content, then learning from my own and others’ critiques. But you’ll never learn how to improve your videos if you never put anything out there for critique. Again, deadlines are the answer. Trust me, going back 4 years, I cringe at all the old videos. But I’ve come so far, and it’s all a journey. Just do it.

Get an understanding of what is important to the client. What my brain thinks will be completely different to what your brain thinks. It's scary sometimes... So get on the same page with the client on what they expect to see when they watch it. Ask them questions, get bullet points or watch their previous videos to see what they like and what they're willing to publish.

Being realistic with your ideas and expectations and managing the expectations of your client are the best ways to balance time, scope and cost which are the edge-points of quality. Additionally, learning to say "no" to certain requests and recommendations and finding alternative and more cost-effective solutions knowing how to do your job to the best of your ability is also an advantage. After all, the client came to you for your expertise, otherwise, they would be doing your job themselves.
