Here's how you can successfully close out an IT project.

Successfully closing out an IT project involves several key steps. First review and finalize all documentation and deliverables. Conduct thorough quality assurance testing and take stakeholder acceptance. KT to relevant parties and plan for a smooth transition to operational teams. Document project closure, including financial aspects and lessons learned

A project is successfully closed when it is signed off formally by the client. To close a project, you need to fulfill many things depending on the type of the project itself such as the deliverables, maintenance and after sale support, what's next, documentation, lessons learned, nice-to-have improvements, and future opportunities. I believe that project closure is most of the time the start of a new project, especially in IT domain.

A project or program can be called to a closure only when the program started with a KPI for definition of done / completion (name it as you like). Last but not the least Satisfaction Survey to reflect the outcome.

It is imperative to obtain formal sign-off from the stakeholder or client. Presenting the finished project and proving it satisfies all requirements is what this step entails. It's critical to address and satisfactorily resolve any last-minute modifications or issues the customer may have. Obtain written proof that the client has accepted the project deliverables after they are satisfied with the results.

One thing that I have found to be extremely helpful in getting final sign-off and acceptance of the deliverables is to keep the client updated throughout the project. Make sure they are aware of all the achievements, risks, and roadblocks. Some sage advice from a former colleague is "bad news does not get better with age" so don't wait to delivery it. Open and honest communication is key to successful delivery. Clients appreciate it.

In my experience, this milestone often takes a considerable amount of time due to numerous small alterations and changes made requested by customers to the original IT Project. Often, these changes are not acknowledged by the customers. This is why it is crucial to establish "good and trustworthy relationships" with customers to minimize such situations.

In my experience completing the project is only step one in IT services journey. typically projects are followed with more projects advancment or enhahcement. It s great to show your client, what could/should be the next, it does make them see the potential of the project and reduce their tightness in scope, as there are more engagement to come.

Part of defining what "Done" looks like is ensuring that all requirements are gathered. End users should sign off on the requirements, and the final product should meet those requirements or document a plan to achieve any missing requirements. The high level milestones should be part of the contract, so associating the requirements back to a milestone is a good practice for ensuring that expectations are handled properly and tracked properly.

O processo de transição para o Time de sustentação/operação do sistema não pode ser apenas realizado ao final do projeto, mas deve ser incorporado ao longo de todo o projeto. One of the most important aspects of project closure is handing the project over to operations or support teams. Staff training sessions for those handling or maintaining the product may be part of this. Make sure support teams are prepared to address any difficulties that may emerge and that all necessary knowledge transfer has been done. The goal of this step is to guarantee service continuity and prevent any interruptions after the project.

A project is partly successful after roll-out, but will be considered a total success when the adoption rate matches the initial target. For that to happen, the project team must ensure that change management process is carried out well; user trainings are conducted, FAQs are prepared, and support network well established for Post-Implementation support.

Transitioning the project to support teams or operations is a key step in closing out a project because it ensures that the project deliverables are handed over effectively. This transition allows for the seamless integration of the project's outputs into the day-to-day operations of the organization. It also ensures that the necessary support systems and processes are in place to maintain the project's deliverables post-implementation. A good documentation by the project team will help to smoothen the transition process to the Support Team. This also helps the incoming support team to troubleshoot future problems better, and provide reference to the audit reviewers long after the project goes live.

Essa etapa crucial demonstra responsabilidade fiscal, gestão eficiente de recursos e um compromisso com o aprendizado contínuo.

Outra boa prática é a de enumerar as versões para controlar se manteve o nível de entrega da anterior e se a partir desta versão encontraram erros, estabelecendo assim novas metas!

Lessons learned is among the most essential things to complete once the work has been delivered and before marking the project complete. Additionally, done well, applying those lessons learned to subsequent projects will save your organization time and money.

What went well? What didn't go so well? What could we do differently next time? 3 simple questions to ask your team and get learnings to use on your next project. To make it easy, I'll re-purpose a team meeting for the Retrospective and recap the key phases of the project to help my team recall learnings. Book the Retrospective as soon as possible after project go-live...people move on and learnings are forgotten if not captured. This is gold!

Celebrating the success and diagnosing things to improve are both equally important. People tend to focus a lot on lessons learned which is critical. Don't forget that celebrating what led to final success is what keeps people motivated for the next difficult project.

To wrap up an IT project well, you should definitely run a post-mortem review, or a retrospective. It’s just a meeting where your team gets together to chat about what went well and what could’ve been better. This kind of feedback is super valuable for learning, improving teamwork, and making your next projects even better.

From my perspective, when closing out an IT project, the major focus is on delivering tangible results that meet or exceed our stakeholders' expectations. The PM needs to ensure that all project deliverables are successfully deployed, thoroughly tested, and documented for seamless handover. The priority is to guarantee a smooth transition to operational teams while providing comprehensive training and support to end-users. Throughout this process, we maintain open communication channels to address any concerns promptly and ensure a successful project conclusion aligned with our customer's goals

Todo projeto precisa ter um objetivo tangível. Meça e acompanhe por pelo menos 3 meses se os objetivos foram alcançados. Isso evita investir em algo que não traz retorno ou que você não tenha certeza do ganho. As empresas aportam muitos projetos e focam apenas na entrega, mas não no monitoramento após a conclusão.

Ensure a smooth transition from project completion to business-as-usual, leaving a clear audit trail and setting the stage for future project success.A successful closeout is as much about the process as it is about the people involved, hence maintaining clear communication and appreciation for the team’s effort will be the key.

Before closing the Project finally, ask the question, what could we have done better? After an ERP implementation that came in on time and under budget, it seemed like we didn't need to answer that question, as the project was a success, but we did. The answer was born of the post-Go-live teething issues that we hadn't expected, and the answerr was: "If we were doing it again, we would start with ERP education rather than training. That would ensure that employees were aware of the basic concepts before the training by module that each employee got from the vendor. Terms like Material Requirements Planning, Bills of Material and Routings need explanation, in context so each person understands how their job affects others in the business.

It is obvious that the Project Managers and team leads usually conduct most of the important meetings and walkthroughs. However, from my experience, I've seen the importance of letting the junior most consultants to also spend some time to prepare and deliver important walkthroughs - even to senior most leaders and users. This is a great way to mentor them into becoming great leaders in the future and also get a taste of taking on responsibility/accountability early on. You can be surprised, how some of the junior consultants can exceed your expectations and also shine within the team, early on - and this can be a great motivating factor for themselves. PMs/Leads would obviously oversee their presentations & add on to it for completeness.
