Project communication is a critical area of project management that can determine the success or failure of a project. In my career, I've learned that regular and clear communication is more crucial than simply meeting deadlines, budgets, or scope. Setting expectations involves informing stakeholders about any delays, risks, or deliveries and clarifying requirements to align with their expectations. Regular updates and transparent communication help manage stakeholder expectations and adjust plans to deliver the best value. By keeping stakeholders informed and engaged, you can build trust and ensure smoother project execution.

Define Roles and Responsibilities: Ensure everyone knows their role and who to contact for specific issues. Regular Updates: Schedule regular check-ins or status updates to keep everyone informed. Standardize Formats: Use templates for common communication needs, like status reports or meeting minutes.

Feedback Mechanisms: Create avenues for team members to provide feedback and suggestions. Inclusive Meetings: Encourage active participation in meetings, ensuring all voices are heard and considered.

I've seen many projects fail due to assumptions rather than clear requirements. Often, we rush to deliver value quickly, assuming stakeholders' requests are fully understood. This approach is flawed. If a feature is important enough to be requested, stakeholders must take the time to clarify requirements before work begins. Be as specific as possible, focusing on the problem rather than jumping to technical solutions. Redirecting stakeholders to the most suitable option can save time and resources, enhancing overall project performance and efficiency. Clear communication prevents rework and ensures your team delivers the highest value solutions, fostering a more effective and streamlined project process.

Some ways to ensure clarity of messaging, is to speak plainly, clearly, and simply. I’m not suggesting you speak down to people (that’s totally different), but people often talk too much and use big of words to try to impress others. Most people just want you to tell them simply what is the problem and what are your solutions. They don’t want to open dictionaries after the meeting to understand what they’re being asked to do or understand. Keep it clear, simple and brief.
