Here's how you can ensure timely project completion through effective team communication.

La planificación es una etapa sumamente importante, no es una democracia ni una paridad, la responsabilidad sobre una tarea, un hito o un objetivo completo debe considerar siempre la capacidad del equipo, los recursos detallados y el entregable determinado, toda esta data puesta en cualquiera de la serie de herramientas de planificación se vuelve útil en la medida en que cada miembro entienda su rol y su entrega hacia el proyecto u objetivo. Hacerlo participativo fomenta el compromiso y el entendimiento desde el primer momento. El cómo siempre debe ser definido por el equipo y sus capacidades.

Working within a massive organization has taught me that all parties need to agree to the communications plan. However, communicators must make efforts to understand the needs and deadlines of their internal business partners in order to be effective.

Have an integrated work plan (where different departments and sub-departments can put their KPIs/major initiatives/projects so they can be tracked simultaneously. It will create time and resource efficiency and priority alignment.

Engaging employees is the perfect strategy for creating ambassadors that will contribute to influencing the outside clients or partners. And what would be the premise for getting their endorsement? Involving them from the beginning process.

Sharing project timeline target goals and current status of task completion transparently with group members will prevent confusion, can strengthen team members resolve with unity against a common opponent of the due date. This increases productivity by fast tracking the team to get the job done. Task breakdown and prioritization are vital aspects of constructive progress tracking. A plan for managing communications regularly with set roles should also be discussed.

I led a team of 6 technical writers on a HUGE project with multiple subject matter authors and multiple reviewers and a hard and fast (i.e., impossible) deadline that was not going to budge. The only way we were going to meet it is by numbering and tracking every section of the document and assigning writers, formatters, editors, and reviewers for each on a huge project spreadsheet and posting a poster-sized printout on the wall (called it the Leaderboard) each day. That way the bosses could dog/help the laggards and celebrate the completed sections. Never did get that contract, but we submitted the bid - multiple binders - on time.

To the current comments I would add two thoughts. First, I recommend making the same information (or a subset if more appropriate) available to interested, and perhaps future-state influential parties who aren't project team members. Second, be mindful of how/where your data is made available. Your publication/storage preference (and access permissions!) may unintentionally make it difficult for others to benefit from this information.

Deben implementarse herramientas de control simples, sintetizar las propuestas periódicamente y hacerlo lo más visual posible ayudará a tomar conciencia al equipo sobre los aportes, el camino seguido y cómo pueden apoyar para conseguir lo planteado en la menor cantidad de tiempo y con mayor calidad.

Projects don't always progress in a linear fashion (most don't!). The best projects catch possible issues early and are able to steer the ship back on track or rebaseline the project. This only happens when members of the team feel comfortable to raise their hand and call out possible issues further ahead and have open conversations.

When group of people work together, mistakes are inevitable. It is important to consider mistakes as positive learning experiences. How mistakes are handled sets the morale of the team. As a leader who has worked with diverse teams on varied projects what has worked for me is that the leader has to set example on behaviour and action for others to follow.

I would recommend a daily stand-up for just a few minutes and the pulse is set. This goes a long way in planning the day and also introspecting about the blocks. Sharing as a team encourages diverse ideas and reinforces the right ideas. This leads to less ambiguity and increased confidence.

Change is the only constant. As we work in a dynamic environment, there are inevitable changes that may occur. Make sure the plans are modified as per required changes and communicated to the teams with requisite support to accommodate those changes.

I completely agree. Rigidity in project management can lead to significant issues, such as delays and reduced team morale. Adaptability is crucial when changes arise and it's vital to communicate these quickly and clearly to your team. This allows everyone to adjust their work without major disruptions.

Le succès de l'adaptation d'une équipe aux évolutions d'un projet réside dans la première étape du projet : Le partage systématique et régulier avec l'ensemble des parties prenantes de l'objectif stratégique du projet. In der Welt des Projektmanagements ist Anpassungsfähigkeit nicht nur eine Fähigkeit, sondern eine Notwendigkeit. Projekte sind oft dynamisch; Veränderungen dabei oft unvermeidlich. Die Art und Weise, wie wir auf diese Veränderungen reagieren, kann, meiner Meinung nach, den Unterschied zwischen Erfolg und Stillstand bedeuten. Wenn Änderungen auftreten, sollten man dieses schnell und klar an das Team kommunizieren. Ebenso wichtig ist eine gewisse Flexibilität, um sehr schnell auf unerwartete Veränderungen reagieren zu können.

I believe the key is to make celebrations consistent and meaningful. Even small wins should be acknowledged promptly. This could be a quick shout-out in a daily standup or a personalized note of appreciation. For larger milestones, consider more elaborate recognition - perhaps a team lunch or a special meeting dedicated to reflecting on the accomplishment. Importantly, these celebrations should tie back to the overall project timeline, reinforcing the connection between individual efforts and the bigger picture.

Actually I endorse the recognition of achieving the goals. Review the task and milestones, make adjustments, set timeline and one important thing is to let the individuals know what they are doing right and recognize it. Never forget the motto “correct in private and praise in public”

On some of my very largest programmes I placed a giant countdown calendar in the main office where most project folk worked. I know that's not always possible, as team members could be working all over the world. But try to make this happen - even if you can put it on the landing page of your project team SharePoint.

I have seen many projects stall and performances decrease because lack morale caused by lack of recognition. There is no need for a trophy or a pizza party at every checkpoint, it is often an honest handshake and a sincere "thank you". Also, it is important that it is out there, you must acknowledge the efforts of colleagues and thank them visibly. Don't be afraid to praise anybody in public, it shows strength and transparency. You must share the spotlight so everybody can shine. It will not only boost morale but performance as well.

The most important task of internal communication to a change program is to drive prioritization, and the second is to reduce resistance. Any communication needs to be looked at through those lenses.

Maybe try innovative approaches. Implement ‘Creative Jams’ for unrestrained brainstorming sessions and gamify project milestones with rewards and leaderboards to boost motivation. Host ‘Walk and Talk’ meetings to stimulate creativity and use AI tools for real-time feedback to catch issues early. Increase cross-departmental hackathons to encourage idea cross-pollination and spontaneous problem-solving. These strategies can traditional workflows, building a dynamic and engaging team environment.

Putting some effort into understanding communication preferences of various project team members will ensure that your messages land well and are received timely. Of course there will be an agreed method of communication with all the team members, for example a regular Zoom call or Slack channel. But for a quick 1-2-1 message maybe some will prefer and therefore respond faster to a WhatsApp message? Also some colleagues may respond well to a regular feedback of their performance on the project to be motivated so a personal; 'well done you!' delivered through their preferred communication channel may help with improving the overall project performance. Trust my musings are of help....
