What do you do if your project budget is running over?

Budget planning and actual expense mapping on a regular basis is most important to keep a check on any excess expense , identifying root cause is most important .

I think to begin with, one should know the root cause of the budget overrun. It can be an underlying cost that was not considered while doing the budgeting or could be an additional cost that has been added as a result of deliverables that the business is expecting. Once the entire rootcause is figured out, one can scale it down or re-aligned the cost based on the core objectives.

First of all, when we prepare the budget of a particular project we will need to add some additional costs because when the work starts there are many hidden tasks involved which we have not taken into account in the project. Therefore, before making the budget, we have to first consider some additional costs so that the budget is not affected in the end.

I used to work in finance and budget consolidation was one of my tasks, it is more complicated when you need to work with various departments/teams for final figures. Project cost often exceeds budget when project planning is not done properly so when it happens, I am supposed to do the followings: 1. Revisit the task-related cost to find out if there is anything to reduce/cut 2. Identify tasks that could be done in-house or by available resources that is more cost-efficient while ensuring the work quality 3. Re-negotiate with vendors for a better deal 4. While its easy to say that you will keep a tight budget , projects often run into budget overrun because of unexpected reasons.Before starting a projects plan against it before executing a project- do accurate estimates, use historical data/ trends.Make sure you have all stakeholders(including external partners) sign off everything so that at later stage nothing is left ambiguous. It is much easier to correct a 10 percent budget overrun than correcting a 50 percent budget overrun, and thus keeping a project on track with frequent budget reviews is always better. Also, keeping all stakeholders aware of the budget and reminding them time to time makes each one accountable and more mindful when moving forward.

Every task is important but while there is a restriction in budget then we should follow the below steps Find the work which required sustenance & needs to continue in a consistent manner. Needs to choose limited projects rather than many. Collaborate with other department and execute project jointly where the budget also gets split. Only to conduct limited projects which can give immediate results. For long & big project where it required major budgets, needs to break it up on FY basis and conduct milestone base spending. Also break it up the project payment in the coming financial years to come. Conduct close supervision to make sure there are no leaks for delay in delivery.

La clave es que no se pierde nada con preguntar, pero otra cosa es demandar o abusar del proveedor. Mucho dependerá de quién es el problema: ¿de la empresa o del proveedor? Si es de la empresa, hay que considerar que el proveedor debería ser un socio estratégico y no solo una empresa que nos vende un servicio, y eso significa que seguiremos trabajando juntos en el futuro. Hay que cuidar esa relación.

Renegotiating contracts or seeking alternative suppliers can help alleviate financial strain without compromising project quality.

Of what I have Seen Around: 1. Ensure Clear Task are filled in Time Sheet. 2. Re-Evaluate time weightage of task from sheet vs payment charged. 3. Inform team of cuts and tell them we have nothing to worry you have got a plan. 4. make a plan to function with same resource but with higher output, leading to Better result in less time. Less time meaning Less billing to client overall. To manage the budget it is not always labour cut, Sometimes all you need to do is talk to your people and brace up work.

Be extremely careful when any of software SaaS suppliers/vendors propose you to activate features or allow to exceed licenses usage. To prevent any abuse from these vendors, you must include in your contract that the vendor cannot bill you more in case of overrun or excess licenses usage. You must request them to block excess usage. If they cannot then it’s their problem and not use. Never agree to the default License Agreement. Such vendors who will trick you or catch you at next contract negotiations are Microsoft, Palo Alto Networks, etc Be extremely vigilant and consider this use case as a threat that you must manage.

Prioritize spending , negotiate with suppliers to cut costs. Check if we are utilizing resources not required. Negotiate with stakeholders for additional funding.
