How do you manage remote teams effectively in operations management?

If you are supporting remote teams, you should have a solid plan for supporting team members who are not meeting the goals and expectations. How are you managing their performance and supporting them? What tools will you use to supplement their growth and training? What feedback processes are you using? And is it clear what the consequences of failure to achieve OKR's will be? Remote management is relatively easy when things are running smoothly. But how often do things run smoothly 100% of the time? :)

I agree with all the above adding a few other components: 1. Trusting your employees working in a hybrid and a remote environment is quintessential. 2. Understanding the goals and expectations on all level of communication using the powerful word "why" to ensure achievable and relevant fits into SMART. 3. Respecting your team and all the stakeholders. You will always get what you give. 4. Nowadays you cannot micromanage your team as this will lead to demotivation. A better alternative is praising good performance and coaching for good performance providing positive feedback. If you call your team A+++ they will feel like stars and move the moon for you. If change management process has flaws, ensure you spot them before being implemented.

I agree with the above but add that goals, expectations and objectives must be aligned top to bottom so the entire company is working in the same direction. Otherwise, the company is starved of productivity and ideal results.

In addition to setting clear goals, I believe it is equally, if not more, important to have well-structured meetings with a clear purpose that provide value for all participants. As the COO of Camino Financial, I implemented three types of meetings with my teams and direct reports: i) 1-on-1s with direct reports, ii) Daily stand-up meetings with functional teams, and iii) Weekly or bi-monthly project management meetings. Consistency in these meetings is crucial; avoiding frequent rescheduling is essential. The benefit of effective meetings is that they lead to spending less time in meetings overall, freeing up your calendar for more thinking, hands-on work, and ad-hoc working sessions.

If you have teams operating remotely you must have the proper set-up for them. Give them precise and clear instructions, measurable targets, meaningful reporting system and provide them with the appropriate training. COVID lockdowns have changed the pattern of operations for many companies. Having people working from home (on a hybrid regime - a new term invented by consultants) companies realised a significant cost reduction, but is the productivity the same? Teamwork is a matter of the past. After we spent millions training people about how important is to work as a team, now we go back and tell them how convenient is to work from home. That is all political, and when political matters get involved it ends up with a mess.

In my experience, having set "check-in" meetings is very helpful. We have one once weekly, and skip it if we don't feel like we need it. It's been very helpful by making sure that we have a set time that we are available to each other to get any questions, concerns, or updates addressed. It helps set clear expectations and keeps us on the same page.

The weekly meetings or video calls are an integral part of making sure everyone feels like they are part of the team and keeps them engaged. We try to make time for small talk or what is happening in their lives on these calls to foster the togetherness.

I manage a fully remote team from Vancouver with folks all across Canada. Some simple yet powerful techniques that I use to ensure everyone kept in the loop are; 1. I record all meetings and post them in our team channel, so if someone happens to be out for the day, they can watch it later on. (Sounds simple but you'd be surprised of how often this does not happen) 2. Don't instant message your team mates once their workday is done. If it's something important. Use a schedule message feature so the communication is received at the beginning of their workday. 3. Set expectations on what meetings you'd need them to be present, and ask feedback on whether they feel that's reasonable and come to a agreeable decision.

I feel it's very imp to embrace diversity and inclusion. We need to recognize and appreciate differences among team members, like backgrounds, ideas, & experiences etc. This definitely boosts creativity, innovation, and problem-solving.

They conduct regular virtual stand-up meetings using video conferencing tools to maintain an open dialogue and foster a cohesive team environment. Virtual hackathons and online skill-sharing sessions are organized to promote continuous learning and team bonding. This is an important behavior to demonstrate to your team. You have to prioritize time for rest, you have to take time for personal errands/appointments and share that you are doing so. Once the team sees that you are doing it, and you verbally reinforce that it's OK to balance these things, it will take hold. At Netflix, I added a line in my email signature that said "My working hours may not be yours, don't feel obligated to reply if outside your working hours." This was because sometimes I would be working overseas, in a different time zone or would have an idea and want to send it immediately. When I did have an urgent issue or request, the team took it extremely seriously and would jump in right away.

It's a common misconception that remote work automatically equates to a healthy work-life balance. My experience in remote work in the creative field has shown me that burnout can occur faster than normal especially with extroverted personalities without proper policies in place. To ensure optimal performance, remote teams must implement a work-life balance policy that supports team members' well-being. Consider, a software company that initially witnessed high stress levels among its remote developers. They can implement a "Flexi-Friday" policy, encouraging employees to dedicate time on Fridays for personal growth and relaxation.

The section headers are great. "Clearly define goals and objectives." "Properly communicate roles and responsibilities." I've always found that general direction gets people lost without real-world examples, so here's a framework that I love, that addresses these issues. With the goals and objectives in mind I like to get the team to make a collaborative list of micro tasks that need to be accomplished to achieve the goals and objectives. These microtasks become named areas of responsibility or AORs. We'll then take turns, allowing people to pick which AORs get assigned to them based on their self-perceived strengths. Once the master list of AORs is completed, team meetings entail each person updating the team on their AORs twice weekly.

There must check in balance to ensure ops. Managers and team leads do follow these guidelines and other SOPs at the workplace

Effective remote teams require cultural engagement alongside goal tracking. Through trial and error, I found Scrum methodology offers great value. By iterating with weekly sprints and brief daily stand-ups (15 min!), we focus on progress, not reporting. This fosters a culture of collaboration, not just updates, maximizing effectiveness. Quite different from lengthy and unproductive meetings! I successfully implemented 10-15 minute team huddles with great results, even including external stakeholders. The key elements are meeting leadership, clear focus, and defined contribution expectations.
