How can you effectively manage your team in a hybrid work environment?

In hybrid work settings, it is important for you to always remember that productivity is the key focus. Which means traditional model of delivery may not be necessary as distance is involved and that requires more innovative execution. Communicate effectively with the team members Enumerate what tasks is expected of them to deliver within a certain period of time. Ensure the team members understand the goals and general growth plan for the organization. Periodic evaluation is also important asides the KPI tied to their roles.

Sharpen the spear before you go to battle, meaning that you should set clear guidelines and discuss how meetings will take place. This is another thing to be trained on. You can assign roles, use a meeting template, create agendas by questions instead of statements, and block explicit time for personal catch-ups to stay engaged on the personal front during remote work. A critical aspect that is often missed for making your employees better is giving great feedback in a hybrid setting: Don't wait until they're properly situated in the job. The performance improvement process really starts during the interview. Find out how candidates like to be managed versus how you like to manage employees. Ask them about their preferred style of being managed and debrief them on how you manage and lead your team members. Set these clear expectations upfront so they know whether they should accept the job should they be offered it. The best way to avoid underperforming employees is to not offer them a job, but should they get past you on that, your safety net is to have them not accept if it's not a fit.

I encourage my Coachees to meet up with their bosses and colleagues regularly in-person. That is very important for trust building and relationship building. Introverts are typically comfortable in their quiet space. But they need to understand that networking is important for their career growth.

Especially with remote teams, it is important to provide the right level of direction and support. You don't want to micromanage or assume that people don't need support because they are tenured employees. Ensuring that you provide frequent opportunities for communication and provide transparency will foster trust and connection.

In order to build trust, you must trust people and deliver. That means letting people know when you are available, and when you are not. Fostering a culture when people are not afraid to say "hey, I am not on the computer right now" and where urgent for urgency's sake is not accepted. As soon as people realise you will check in without demanding immediate action (which requires a lot more planning) you'd get engagement and honest, quick answers. In other words, trust.

It is surprising many people struggle to understand how information should be shared in the XXI century. There is a time and a place for calling (when you need immediate feedback/action) there's a time for an email (when you need an exchange to be documented and searchable) and there are platforms to manage certain types of (large files). ... and there is never a time when it is right to call someone's personal number, for non important things during what it is their off time.

Create dedicated communication channels: Utilize tools like team messaging platforms for quick updates, information sharing, and casual interactions. I like using MS teams for quick or informal info exchange; emails for more documented tasks. Use project management software: Implement software that allows for shared documents, task tracking, and collaboration, regardless of location. MS Sharepoint, Google Docs are also great to consider. Practice asynchronous communication: Utilize tools like shared documents and discussion boards for conversations that don't require real-time presence.

Finding the right communication for the individual and team is paramount. There are many tools out there such as Slack for asynchronous messaging. Zoom for video conferences and Jira for software development. However, sometimes it’s most effective to use phone or in person communications rather than email and instant messaging. Many times meaning gets lost in interpretation. When you need a quick response, give someone a call. If you need to provide an update, send an email. If you can’t reach someone by phone, then send a slack message. If you don’t have slack send an IM. Sound easy? :)

One of the key items missing in a hybrid or remote work environment is the informal interactions. The quick conversations as you pass in the hall or a question shouted over the cube wall. In working with people of all levels in the Associate Engagement space, this is something people miss fairly consistently. Simulate that in the remote world using technology. Keep a team chat open. If you see someone you haven't seen for a while, ping them after to ask how it's going and what they're working on. Make it clear to direct reports how you want them to reach out and encourage them to do so. Make a goal to reach out to one person a day just to say Good Job! or Can I help? Show your face! Eliminate the isolation remote work can cause.

I see lots of videos about leadership. I read lots of post on leadership. Half of them is useless or very much stereotypical. A quarter is something which is a re-post of something similar to the mentioned 50%. Whenever we do something we should aim to be meaningful and authentic. How would make our post sense if it does not contribute to others development? Lets help each other with actual content. :) And this is about leadership, not posting. Think about it.

Adapt your leadership style to individual needs. Some people thrive in an office, surrounded by other people and some thrive at home, in their own space. Don't assume that because someone is at home, you need to bug them a lot with calls and meetings. Introverts do their best work when they are not distracted. If you're unsure about the best approach, ask your team! Make sure you set clear expectations and ask how can you best support them to achieve these expectations.

It's critical to strike a balance between being directive and flexible, responsive and consistent, and supportive and empowering. It's important to modify your communication style and frequency according to the type and goal of the interaction. This can mean being more expressive and active during video chats or more succinct and clear in written communications.

I believe business leaders should focus on creating the infrastructure for many types of interactions to occur, and let people choose what they prefer. The same way some prefer to work late at night, and others early in the morning, a top down approach sounds like bad advice. After more than 10 years working with distributed worldwide teams, I have found that having formal and informal channels, and virtual hangout spaces, are great tools. Definitely it is a lot easier now than it was in 2012!

Leadership styles need to adapt by context, timing and individuals. Think of what you need at a particular time, but more often then not, it's a combination approach that works best. People mix being available with being at someone else's disposal. I am a big fan of messages like "Hi, I am on the way to pick up my kid, I will get back to you tomorrow morning" that means you are available, and have taken notice that something is needed, you are setting up expectations and you are letting people know you have other commitments, so they can plan and chose either to wait or to speak to someone else. If you can also offer alternative people who can help what your are not going to be able to act on something, even better!

As a leader, you can use your 1:1 meetings to explore well-being. Avoid asking the obvious questions such as - How is your well-being? Years ago, my executive leader started talking about her own (lack of) well-being when we started talking about my own. Don't do this! Ask questions like these to unpick things with your team members: What are your biggest frustrations at work that I should be aware of? What would be the best way for me to be helpful and supportive of you? What is blocking you or slowing you down in your work? All roles get caught up in bureaucracy. What wastes your time in your role? I have noticed you've been staying late over the last month. What impact is that having and what can we do going forward?

Hybrid working has become a huge benefit to many people who find it so much easier in terms of child care, outside work responsibilities etc. It can also reduce time spent commuting and save people money. Having a healthy work life balance is vital to all of our wellbeing be that physical, mental or emotional. As a leader we need to be careful to not send unintentional messages to our hybrid teams, such as hours worked, times of emails sent, and micromanaging etc. Keep an eye out for individuals feeling stressed, know their individual personal situations and be prepared to where possible be flexible to different needs and requirements. In the end it will prove to be more beneficial to everyone and performance and productivity will improve.

Humans naturally desire and are wired to be (inter)connected. While technology and virtual techniques are increasingly adept at fostering these connections, it's important to remember that emotions, which form the basis of all human relationships, are most profoundly triggered during face-to-face interactions. Specifically, new neural connections are formed when we physically meet another person. This means the most geographically diverse teams should also allocate time and resources to meet in person to genuinely cultivate new neural connections, not just rely on virtual means. This undoubtedly demands significant effort and prioritization from organizations and leaders, but the returns in enhanced performance are well worth it. #vadagnes

Managing a team in a hybrid (or fully remote) environment requires putting in the extra diligence to make sure teams are connecting deeply and establishing trust that may come more naturally from more in-person time together. Team building exercises and making time for deeper, more meaningful connections personally and around projects can help increase commitment to team success and satisfaction with work.
