It’s also helpful to be plugged into your team’s “less utilized” skills. Often times people are interested in learning and doing something new. Something they don’t necessarily do every day, but have an interest in and aptitude for. Pay attention to what folks like, not only what they’re currently doing. You may find delegation options that weren’t readily apparent.

As a learning experience designer, working with a team is easier when you set clearly defined goals. Assigning tasks to each team member becomes easy. Having a clear goal will help team members understand their roles and responsibilities in making a project successful.

Knowledge of exactly what is expected, where responsibility lines are drawn, and who actively supports each effort is empowering. When the lines are clear it’s much easier to stay in the lane and navigate the most effective way to reach the goal.

You might feel like kickoff or scoping meetings aren’t a good use of time and be tempted to put it in an email instead. Setting clear expectations up front and giving your team a chance to discuss, ask questions, or escalate concerns that may not have been considered is well worth your time. You’d rather know all of this up front, and so would they, otherwise you’ll spend time on the back end editing, redesigning, and incorporating feedback.

Have tech support firmly established in advance of technology resource deployment. It is extremely demoralizing when technologies required for task completion fall short (which they will do) and leadership does not have effective support in place. Spend resources on robust IT support.

I’ve found that creating a psychologically safe team culture pays off. It can be scary to say “I have a concern” after your boss shares their big idea, or ask “Have we considered…?” when you’ve been delegated a task. Encourage your team to share those thoughts, concerns, and ask the tough questions. That’s what you hired them for after all!

Managing a team through project management tools is a must, however I am a big proponent of regular evaluations of the team's effort rate and adjusting deadlines whenever possible to guarantee that the product is of high quality but doesn't burn the people on the way. Also, know how.much monitoring the team needs, what for some might be normal check-ins might feel overwhelming or controlling to other members.

Managing delegated tasks is a tightrope walk - you want oversight without suffocating your team's independence. Set up weekly check-in calls or progress updates in a shared tracker to stay looped in on milestones. Project management platforms like Asana or ClickUp provide that high-level view of who's working on what by when. The key is open communication and trust. Let your digital learning gurus take ownership, but maintain transparency around potential roadblocks. With the right lightweight processes in place, you can guide without micromanaging. It's all about balance!

As a leader I make sure I am aware of my team’s strengths and areas of needed support. This in addition to making sure I am aware of not only the roles but expected outcome and KPI’s. This is important to assigning tasks and trusting the outcomes. I take time to front load information and provide clarity. Throughout the process I serve as a coach and direct support while holding myself and the team accountable.

You may also want to consider delegating tasks to your subject matter experts. They should be included in early conversations to share what they know, and you can give them opportunities to engage in the process. Ask them to review a storyboard or wireframe, provide real life scenarios for storytelling in your deliverable, test out a workflow, and absolutely review your final drafts before publishing!
