Hilton Head Health Policies and Terms & Conditions

Deposit & Payment Policy
A $1000 deposit per person for each week reserved is due at the time of booking. A $500 deposit per person is due at the time of booking for H3 Healthy Getaway. The balance remaining is due at check-in. All fees are payable by cash, check, or credit card. All guests must present a major credit card for incidentals upon arrival which will be charged prior to departure.

Cancellation Policy
Reservations can be changed or canceled at no charge up to 21 days before a scheduled arrival – deposit is fully refundable. For requests made within 8-20 days of arrival, the deposit, less a processing fee of $500 per week plus any Room Request fees, will be placed on file for use within 12 months.

The deposit is forfeited for changes or cancellations made within 7 days of arrival. (This Policy does not pertain to the Book Now Promotion). See below terms and conditions:

Terms & Conditions: The signed Book Now form IS NOT A RESERVATION CONFIRMATION; requested arrival dates and length of stay indicate preferences and are not guaranteed by the completion of the Book Now form. Rates are guaranteed (locked-in) at the prices listed on the form until the offer’s expiration date and reservations are subject to availability at time of booking. All reservations Book Now Reservations are subject to resort’s reservation change and cancellation policies except for the non-refundable required policy. Reservations can be changed at no charge up to 21 days before your scheduled arrival. If a reservation is not secured and travel completed prior to the offer expiration date, the deposit will be forfeited.

Early Departure Policy
There are no refunds or credits for early departures less than 7 nights. Special Program fees and Room Request fees are also non-refundable. H3 Cash is non-transferable and non-refundable. In the event of any early departure, the guest would be responsible for charges for days remaining in that week through Sunday. For reservations longer than 7 nights, an early departure fee of $1000 per week will be deducted to any additional full weeks that were previously booked, and the remaining balance will be placed on file for 12 months.

Hurricane Policy

The official Atlantic Hurricane Season runs June 1 – November 30.  Hilton Head Health does not issue refunds due to the threat of a hurricane, or any other natural disaster that may impact your travel plans.  Normal Cancellation/Change policy applies up until a Mandatory Evacuation is issued.  (Please see Policies above)

In the event a hurricane disrupts travel to the Hilton Head Island area, we follow the amended cancellation and change policy below.  We encourage you to consider arranging trip insurance if you’d like additional protection for your vacation funds.

Cancellation and Change Fee:
If a Mandatory Evacuation is called for Hilton Head Island, the Cancellation and Change policy is amended as follows:

For the purpose of this policy, ”Evacuation Period” is defined as the period that begins when the Hilton Head Island Mandatory Evacuation is called, through the evacuation and re-entry period, and concludes with the date Hilton Head Health announces as “Open for Business”.  Hilton Head Health will provide a minimum 48-hours’ notice to announce “Open for Business” following an evacuation.

Deposits on file for any week(s) that fall during the Evacuation Period would be placed on file, without penalty, to be used within 6 months.  Normal change fees would apply outside of this 6-month grace period.  Any portion of a reservation for weeks that fall in the “Open for Business” timeframe following a hurricane evacuation will be subject to Hilton Head Health’s standard Cancellation policy.

For reservations disrupted by a mandatory hurricane evacuation:  Hilton Head Health will provide a monetary credit on file, that is equivalent to the number of nights of the guest’s stay that was impacted by the Evacuation Period.  As previously stated, the Evacuation Period begins with the official order of evacuation by Beaufort County.  Unused H3$ does not transfer, as it is included in the credit on file within the program rate.  The credit will be placed on file, without penalty, to be used within 6 months.  Normal change fees apply outside of this 6-month grace period.  Any portion of a reservation for weeks that fall in the “Open for Business” timeframe following a hurricane evacuation will be subject to Hilton Head Health’s standard Cancellation policy (see below).

Hilton Head Health is not responsible for transportation expenses such as airline change fees, car rentals, fuel or accommodations expenses associated with stays disrupted by a natural disaster.

Covid Specific Cancellation Policy
A valid PCR Covid-19 test must be provided for any cancellation due to Covid. Once the positive test result is received the reservation will be cancelled and the full deposit will be placed on file for 6 months from the date of the first day of the reservation. No change fee will be deducted. No Refunds will be provided.

Covid Specific Isolation Policy
A positive valid PCR test (offered onsite) will result in a 5 day isolation. Meals will be delivered to the room. Guest will receive a $250 (program credit) per each day of isolation. Guest can return to the program after the mandatory isolation if the guest has been fever-free for 24 hours (without the use of fever-reducing medication). The guest will be required to wear a mask in the facility for an additional 5 days.

Covid Specific Early Departure Policy
If guests prefer to leave after receiving a positive Covid Result onsite, the balance of the stay will be placed on file for a future stay for 6 months from the date of the positive Covid Test Result. No change fee will be deducted and the funds placed on file be based on average nightly rate charged. Special Program fees will not be credited. H3 Cash is non-transferable and non-refundable, and will not be placed on file.
