Your robotics team is facing miscommunication conflicts. How will you steer towards resolution?

Miscommunication is LETHAL in any robotics team. Giving wrong information to a teammate can ruin all your progress. The first step to fixing this is to recognize the problem. Hold a meeting with your team, listen to everyone's opinions, and make sure no one blames anyone else. If someone does blame another, try to resolve the conflict.

I’ve always tell my team “I don’t care who created the problem or issue. What is important is that we are all made aware of the issue so we can all learn from it and move forward.” We then discuss what the problem is, how to solve the immediate issue, then corrective actions to take moving forward.

Recognizing the problem is the first step towards finding the solution. In my extensive experience as an entrepreneur, I've learned that ignoring communication issues only exacerbates them. It's crucial to identify the root causes of these problems, whether they stem from unclear expectations, cultural differences, or technological barriers. By recognizing and addressing these issues, you set the stage for effective problem-solving and team improvement.

This is soft skills 101 and I would hope that most individuals are able to develop this skill in grade school. In engineering identifying and communicating issues is core to your job. Simply put, if you are not doing this you are not doing your job. If you can't solve a particular problem on your own, that is okay. This is why we work in teams. Asking for help and raising issues as soon as they arise goes a long way towards keeping problems small and manageable. A good project manager will foster this kind of communication but don't hesitate to encourage this regardless of your role in a team.

Open dialogue paves the way for trust and transparency. Encouraging open dialogue is essential for addressing communication failures. Create a safe environment where team members feel comfortable expressing their concerns and suggestions. It is important to have a specific physical place for open dialogue that brings positive energy. In my career, I've seen how fostering a culture of openness leads to more honest and constructive conversations. Regular meetings and feedback sessions can help ensure that everyone is heard and that misunderstandings are quickly clarified.

Clarity in roles leads to efficiency and cohesion. Clearly defining roles within the team can prevent many communication issues. Each team member should have a precise understanding of their responsibilities and how their work fits into the larger project. From my experience, when roles are well-defined, it reduces confusion and ensures that everyone knows who to approach for specific issues. This clarity helps streamline communication and enhances overall team efficiency.

Another non tech question which can be associated with not just robotics but literally anything. Yes.. it’s pretty obvious that people should have defined roles. Companies have job titles and descriptions for the same reason. Most companies do have them mentioned very clearly prior joining. Some companies don’t but it will be clear what your role is upon joining. If it isn’t then there is bound to be miscommunication as to what a person’s responsibilities are. This miscommunication can sometimes lead to conflicts too. Best thing to do for self preservation, accountability and professionalism is to define your responsibilities asap. And also do a thorough review periodically as responsibilities can change with time. Do this in robotics

Structured processes keep the team aligned and informed. Establishing clear processes for communication and collaboration is vital. Whether it's through regular meetings, project management tools, or documented protocols, having structured processes in place ensures that information flows smoothly

Processes in general can help. On top is this the culture of the team or the mindset of single persons need to be open do avoid misunderstanding.

Continuous learning empowers teams to communicate and innovate better. Promoting a culture of continuous learning is key to improving communication within the team. Encourage team members to develop their communication skills through training and workshops. In my career, I've seen how ongoing education can enhance both technical and interpersonal skills, leading to more effective teamwork.
