Privacy & Confidentiality of Information Policy – NCD Child

NCD Child is committed to protecting and preserving all personal and confidential information that is collected, used, disclosed, and retained. NCD Child values the protection and confidentiality of your personal data. Therefore, we comply with applicable data privacy legislation in Ontario pertaining to the collection and processing of your personal information.

Definition

Collection: The process of gathering, acquiring, receiving, or obtaining personal information or private and confidential information from the participant. Generally, information is ‘collected’ the first-time information is gathered, acquired, received, or obtained. Any viewing, handling or otherwise dealing with the information after the initial collection is generally considered to be a use.

Consent: Voluntary agreement with what is being done or proposed. Consent in this scenario will be implied. Implied consent arises where consent may reasonably be inferred from the action or inaction of the individual.

Disclosure: To make information available or to release it to another health information custodian or person.

Personal Information (PI): Recorded information about an identifiable individual.

Use: To view, handle or otherwise deal with information.

What information do we collect and how do we use it?

NCD Child may collect the following information: name and job title; contact information including email address; demographic information such as postal code, preferences, and interests; and other information relevant to NCD Child campaign needs.

NCD Child only collects personal data that you give us yourself by signing up for email updates or in the context of a campaign or initiative.

We require this information to understand your needs, and for the following reasons:

  • Internal record keeping
  • Improvement of our campaigns and initiatives to prevent and control NCDs
  • Sending periodic emails containing information which we think you may find interesting, using the email address that you have provided. 

We and our third-party service providers will use your personal data only for the purpose(s) for which you have given permission. We will not sell, rent, loan, trade or lease any personal information collected online or offline. 

NCD Child is accountable for ensuring that sensitive information is only used as required to perform their necessary job duties, and that such information is not disclosed to anyone who does not have a legitimate need to have access to such information.

Email Communications

You may restrict the collection or use of your personal information in the following ways:

  • Whenever you are asked to fill in a form on the website, look for the box that you can click to indicate whether or not you wish to receive future contact from us.
  • If you have previously agreed to us using your personal information for our campaigns, you may change your mind at any time by clicking the “unsubscribe’’ link at the bottom of any email or emailing us at ncd.child@sickkids.ca

Access to information and data rectification

You have at any time the right of access, modification, correction, and removal of your data that has been collected in our database and can implement these rights by contacting NCD Child at ncd.child@sickkids.ca.

NCD Child will take steps to ensure that your data is as accurate, complete, and up to date as necessary and as reasonably possible for the purposes for which it is to be used. Does NCD Child keep my personal data safe? 

We rely on service providers that are well known and process data in a secure way and also use various security technologies, including two-factor authentication, and measures to protect your data from unauthorised access, use, loss, or publication. These technologies and measures are periodically reviewed and updated if necessary. 

Where and for how long does the NCD Child keep personal data? 

We digitally store our data in our content management system, which is physically located in the USA.

We use MailChimp as our marketing automation platform. If you subscribe to our regular newsletter and updates, only your email will be transferred to Mailchimp for processing in accordance with their Privacy Policy and Terms of Use.

What can I do about my own personal data? 

If you want to update any of your contact details, you can do so by emailing ncd.child@sickkids.ca.

If you feel that your data has been handled incorrectly, you can submit a complaint to the NCD Child Secretariat at ncd.child@sickkids.ca.

What about links to other websites?

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.
